Job Summary

We are seeking a highly organized and detail-oriented Administrative Coordinator to join our team at AST Financial Inc. As an Administrative Coordinator, you will play a key role in ensuring the smooth operation of our office and supporting our Accounting and Tax teams with various administrative tasks.

The ideal candidate will have extreme attention to detail, strong organizational and multitasking skills, and the ability to work independently and prioritize tasks effectively. Proficiency in Microsoft Office is required, and bilingual skills in English and Chinese are highly preferred.

Key Responsibilities:

  • Oversee office operations, including handling incoming and outgoing mail, filing documents, managing supplies, and maintaining a clean and organized workspace.
  • Support the Accounting team with tasks such as printing payroll checks, scanning bank and credit card statements, and tracking clients' cash expenses using QuickBooks desktop and Excel.
  • Assist the Tax team with maintaining clients' tax databases and files and helping assemble tax returns.
  • Meet and greet walk-in clients, take phone calls from clients, and transfer calls to the company's point of contact.
  • Help develop and implement office policies and procedures, including coordinating event planning, enforcing housekeeping policies, and addressing security issues.

Requirements:

  • Extreme attention to detail
  • A year+ experience in an administrative role
  • Strong organizational and multitasking skills
  • Ability to work independently and prioritize tasks effectively
  • Bilingual in English and Chinese (highly preferred)
  • Proficient in Microsoft Office

Estimated Salary: $50,000 - $65,000 per year
