Job Overview

PRIMARY ROLE

The Office Supervisor plays a crucial role in enhancing Havertys' exceptional customer service experience within our retail environments. This position is responsible for overseeing the Guest Service Office, ensuring smooth operations by managing customer transactions, handling payment processes, answering inquiries, and coordinating delivery schedules.

KEY RESPONSIBILITIES include, but are not limited to:

  • Overseeing all activities within the Guest Services Office
  • Assisting with the responsibilities of the Office Coordinator as necessary
  • Communicating and training staff on updates to company policies and procedures
  • Ensuring adequate staffing in the Guest Service Office at all times
  • Managing incoming calls, distributing messages, and overseeing the store's voicemail system
  • Addressing customer complaints and managing service tickets
  • Completing daily opening and closing procedure checklists
  • Maintaining inventory of office supplies and ensuring the functionality of office equipment
  • Conducting regular audits of store operations as outlined in the Quarterly Audit Checklist
  • Assisting management with inventory tasks as needed
  • Processing accounts payable functions, including invoices and purchase orders
  • Ensuring daily bank deposits are made by management
  • Facilitating employee sales transactions

HR AND PAYROLL FUNCTIONS may also include:

  • Processing I-9 verifications
  • Maintaining and approving time records for hourly employees
  • Ensuring timely submission of time cards for approval
  • Assisting with the hiring process, performance evaluations, and disciplinary actions for Office Assistants
  • Conducting new employee orientations
  • Ensuring compliance with current HR poster requirements
  • Maintaining up-to-date OSHA logs and postings
  • Managing the HAZCOM book and necessary training updates

QUALIFICATIONS

Education and Experience

A high school diploma or equivalent; one to three years of relevant experience or training; or a combination of education and experience.

Preferred Skills

  • Minimum one year of experience in an office setting
  • At least one year of experience in a customer service role
  • Proficiency in Microsoft Word, Excel, and O365
  • Strong mathematical abilities
  • Excellent communication and customer service skills
  • Ability to manage multiple tasks effectively
  • Highly organized with attention to detail
  • Capable of following both oral and written instructions
  • Ability to work independently while exercising discretion
