Position Overview

KEY RESPONSIBILITIES:
  • Oversee the daily operations of a team of Pre-Award Specialists.
  • Evaluate workload distribution and communicate any issues to the Research Administration Services (RAS) Director.
  • Provide mentorship and support to team members as needed.
  • Collaborate with the RAS Director on pre-award initiatives, problem-solving, and workload management.
  • Facilitate inter-team meetings with the Post-Award team lead to promote cooperation between pre-award and post-award teams.
  • Administer pre-award processes for a designated portfolio of grants and contracts, utilizing expertise in grant management regulations and analytical skills.
  • Manage daily objectives and operations related to the assigned portfolio.
  • Contribute insights and suggestions within a cross-functional team environment.
  • Ensure streamlined workflows and compliance with quality standards for the team and individual performance.
  • Execute pre-award functions for a specific unit within the RAS framework.
  • Assist faculty and principal investigators (PIs) in the creation, preparation, and submission of grant and contract proposals.
  • Verify that all submissions adhere to agency and university guidelines, including the management of the Just-In-Time process.
  • Ensure timely entry and routing of proposals for further evaluation.
  • Collaborate with PIs and support staff at partner institutions to obtain necessary documentation for sub-awards.
  • Assist PIs in developing budgets and justifications, ensuring accuracy and consistency.
  • Review budgets for compliance with sponsor requirements and university regulations, confirming the correct application of overhead rates.
  • Advise PIs on administrative needs for proposal submissions and necessary budget adjustments.
  • Coordinate and assess specific proposal components (biosketches, facilities & resources) for accuracy and completeness.
  • Review proposals for adherence to sponsor guidelines regarding budget, format, and other specifications.
  • Monitor and facilitate the proposal process in accordance with university protocols and required signatures.
  • Obtain necessary approvals as required.
  • Track proposal status and inform PIs of research protection protocol requirements and deadlines.
  • Collaborate effectively with various offices on research proposals.
  • Perform additional responsibilities as assigned.

MINIMUM QUALIFICATIONS:
  • Bachelor's degree with five years of relevant experience in grants and contracts management, or an equivalent combination of education and experience.
  • Familiarity with federal regulations related to research grants and contracts.
  • Proficient in MS Office Suite applications.
