This impressive 800-room venue includes 60,000 square feet dedicated to meetings and events, complemented by a sky bridge linking to the expansive Kansas City Convention Center. This hotel is the first of its kind to cater to group and meeting needs in Kansas City in over two decades. Guests can enjoy two signature dining options, a convenient Grab & Go bakery, and a rooftop lounge, all within a stunning 24-story glass structure that enhances the city skyline.

Key Responsibilities

  • Facilitate sales operations and maintain customer relationships for the Director of Sales and Marketing (DOSM) and other management personnel as needed.
  • Respond to incoming calls following the established service protocols, ensuring a professional interaction.
  • Organize and manage a systematic approach to ensure all messages are delivered promptly to the appropriate staff.
  • Prioritize daily tasks effectively to enhance productivity.
  • Maintain a courteous and supportive demeanor with both internal and external clients.
  • Prepare and accurately type various forms of correspondence, including memos, contracts, and letters as required.
  • Input account and booking information into the designated system within specified timeframes, adhering to established procedures.
  • Generate daily availability reports and distribute them to the sales team.
  • Coordinate travel arrangements for management, including flights, accommodations, and transportation.
  • Gather essential information when receiving leads, ensuring a personal touch in client interactions.
  • Establish and maintain organized files according to the prescribed format for easy access and reference.
  • Assist with follow-up calls, providing clients with information on upcoming groups and resolving inquiries efficiently.
  • Handle reservations and amenities for management, ensuring all details are confirmed and communicated.
  • Ensure that all amenities are accompanied by a personal note to enhance guest experience.
  • Support special projects, including mailings and sales initiatives.
  • Prepare contracts for sales managers, ensuring all documents are accurate and distributed for tentative bookings.
  • Compile proposals and regret correspondence as needed.
  • Create and maintain reader files for sales managers, preparing them for monthly evaluations.
  • Facilitate VIP reservations and ensure proper accommodations upon guest arrival.
  • Assist in onboarding new sales assistants, providing training on departmental operations.
  • Compile Post Convention Reports and corresponding thank you letters.
  • Provide assistance to other sales managers with contracts and proposals as required.
  • Foster collaborative relationships with hotel department heads and operational teams.
  • Execute administrative tasks for special projects and events.
  • Review all correspondence for accuracy and clarity.

  • Participate in relevant hotel meetings and training sessions.
  • Ensure cleanliness and proper maintenance of work areas and equipment.
  • Stay informed about hotel policies and changes.
  • Follow grooming and uniform standards set by the hotel.
Qualifications
  • Proficient in Microsoft Office Suite, Opera, and Delphi systems.
  • Exceptional communication, organizational, and guest relations skills.
  • Able to work flexible hours, including weekends and holidays.
  • Demonstrated ability to provide excellent customer service to both internal and external guests.
Education:
  • A minimum of two years of office experience, preferably in a sales environment.
