Position Summary

Key Responsibilities

  • Facilitate sales processes and manage customer interactions for the Director of Sales and Marketing (DOSM) and other team members as needed.
  • Handle incoming calls in accordance with company standards, ensuring a professional and welcoming experience for callers.
  • Maintain an organized system for message delivery to office personnel.
  • Prioritize daily tasks effectively to meet departmental needs.
  • Provide excellent service to both internal and external clients.
  • Prepare various forms of correspondence, including memos, contracts, and letters with precision.
  • Input and update client information in the designated management systems promptly.
  • Generate and distribute availability reports to the sales team on a daily basis.
  • Coordinate travel arrangements for management, including flights, accommodations, and transportation.
  • Gather all necessary information when receiving leads and ensure follow-up with the appropriate sales manager.
  • Organize and maintain files systematically, adhering to established formats.
  • Assist with client inquiries and provide detailed information about upcoming events.
  • Manage reservations and amenities for management, ensuring all details are confirmed and communicated.
  • Support special projects and sales initiatives as required.
  • Prepare contracts and proposals for the sales team, ensuring accuracy and timely distribution.
  • Assist in training new sales staff on departmental operations and best practices.
  • Compile post-event reports and thank-you correspondence for clients.
  • Foster collaborative relationships with hotel department heads to enhance operational efficiency.
  • Execute administrative tasks for special events and projects.
  • Review all outgoing correspondence for clarity and correctness.
