Senior Administrative Coordinator

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our senior management team at Sandpearl Resort. This role requires a detail-oriented individual who can manage multiple tasks efficiently and maintain confidentiality in all interactions.
Key Responsibilities:- Acquire a thorough understanding of all CRM systems, including Delphi and Opera.
- Handle and prioritize incoming phone calls and electronic requests for proposals (RFPs).
- Monitor and manage Direct Bill applications for sales accounts across various properties.
- Assist in the preparation of essential documents such as contracts and proposals.
- Format and prepare information for internal and external communications, including memos, emails, presentations, and reports.
- Support group reservations and blocks as necessary.
- Ensure all signed contracts are forwarded to the Events Department.
- Respond to phone inquiries promptly and professionally, managing information flow accurately.
- Order and maintain office supplies, ensuring inventory is replenished as needed.
- Prepare and distribute Site Tour Alerts to relevant team members.
- Generate daily reports as required for operational needs.
- Conduct audits of files and systems for compliance with payment methods, signed agreements, and minimum requirements.
- Input and manage data within spreadsheets and CRM systems.
- Assist with loading group information into the CRM and merging contracts as required.
- Audit working files for accuracy regarding payments and documentation.
- Perform additional administrative tasks as assigned.
- Support in-house and special events as needed.
- Take detailed minutes during meetings.
- Manage the calendars of executives and coordinate meeting schedules.
- Maintain discretion and confidentiality in all matters.
- Exceptional interpersonal and communication skills.
- A minimum of one year of experience in the hospitality sector is required.
- A degree in Hospitality Management or a related field is preferred.
- Strong written and verbal communication abilities.
- Proficient in computer applications, with a preference for knowledge in Infor (HMS), Delphi, and Excel.
- A solid understanding of hotel operations and revenue concepts.
- Highly organized with the ability to manage multiple priorities.
- Ability to work effectively with diverse individuals.
- Punctuality and reliability are essential.
- Must be able to stand for extended periods as needed.
