Reporting directly to the Executive Director, the Chief of People and Business Operations will manage daily activities related to the entire employee lifecycle, encompassing recruitment, onboarding, benefits management, employee data oversight, compliance, reporting, record maintenance, and payroll administration.

Key Responsibilities:

  1. Facilitates the recruitment process by crafting, refining, and disseminating job postings, tracking candidates, and maintaining recruitment documentation.
  2. Conducts pre-employment drug screenings and coordinates background checks for new hires. Organizes orientation schedules for new employees, welcoming them and guiding them through HR policies, forms, and benefits, while also announcing new hires.
  3. Oversees the completion of new employee documentation, ensuring compliance with I-9 regulations, and maintains personnel and medical records. Inputs new hire data and compensation into the HR Information System (HRIS) and keeps it updated to reflect staffing changes.
  4. Administers daily benefits functions, including eligibility verification, enrollment processes, and employee communication regarding benefits; submits monthly eligibility reports to management.
  5. Ensures compliance postings are current across all locations, staying informed on changes to federal, state, and local regulations.
  6. Manages workers' compensation claims by completing necessary documentation, maintaining communication with affected employees and insurance carriers, and keeping records of incidents.
  7. Responds to unemployment insurance claims as needed.
  8. Oversees employee leave programs, ensuring compliance with federal and state regulations, including family and medical leave.

Additionally, the role involves:

  1. Recruiting, training, and managing staff in alignment with company policies, ensuring fairness in hiring and retention practices.
  2. Promoting a safe working environment and ensuring that all team members adhere to safety protocols.
  3. Handling requests for employment verification and references.
  4. Maintaining confidentiality regarding employee matters and sensitive information.
  5. Providing exceptional support to employees, addressing inquiries, resolving issues, and clarifying company policies and benefits.
  6. Assisting in the organization of employee engagement events and meetings throughout the year.
  7. Continuously enhancing technical knowledge through ongoing training and professional development.
  8. Managing employee uniform distribution and inventory.
  9. Drafting and editing HR-related correspondence and employment offers, as well as initial drafts for the Director of People Operations.
  10. Executing payroll processing tasks, including data entry, error correction, and ensuring accuracy prior to payroll submission.
  11. Performing additional duties as assigned.

Qualifications:

  • High School Diploma or equivalent is required.
  • A Bachelor's degree in Human Resources Management, Business Administration, or a related field is preferred.
  • A minimum of 3 years of HR experience is required.
  • Proficiency in MS Office and HRIS systems is essential.
  • Prior supervisory or management experience is advantageous.
  • PHR/SPHR or SHRM certification is preferred.
  • Strong verbal and written communication skills are essential.
