Key Responsibilities:

Under the guidance of the Customer Care Supervisor, a Customer Care Specialist is tasked with upholding a positive and supportive demeanor while delivering outstanding service to all clients, including patients, clients, referral sources, healthcare providers, sales representatives, and colleagues.

Core Duties:

  • Handles incoming calls and faxes, processes customer orders for durable medical and respiratory supplies, repairs, and other items
  • Maintains clear communication with patients/clients and referral sources
  • Addressees inquiries and concerns from patients/clients
  • Assists walk-in customers as necessary
  • Prepares intake forms, collecting essential information regarding referrals, patient demographics, contact persons, physicians, diagnoses, and requested items
  • Gathers all required documentation prior to delivery, including CMN, Rx, ABG, Care Plan, Auth, etc.
  • Confirms medical necessity with the physician
  • Verifies eligibility and coverage with insurance providers according to established guidelines
  • Checks payer information, obtains necessary authorizations, and records expiration dates
  • Validates patient demographics and prior equipment usage
  • Informs patients of their financial responsibilities, including copays and deductibles
  • Accurately enters data for each order into the system in a timely manner
  • Processes orders for shipping or dispatching for Technician or RT deliveries
  • Stays informed about product and insurance coverage issues to advise patients on copays and benefits
  • Participates in departmental meetings, company meetings, and training sessions
  • Reports to work punctually and is prepared to begin at the scheduled time
  • Works Saturday shifts as required
  • Performs additional duties as assigned by supervisors or management
  • Adheres to all company policies and procedures
  • Maintains up-to-date knowledge of products, guidelines, and insurance trends
  • Ensures a professional, safe, and clean work environment
  • Meets monthly performance goals
  • Possesses fundamental computer skills

Qualifications:

  • Experience in a Medical Supply Company
  • Familiarity with medical terminology and diagnoses
  • Exceptional customer service abilities
  • Detail-oriented approach
  • Previous experience in management or supervisory roles
  • Proficient in Microsoft Word, Outlook, and PowerPoint
  • Experience in healthcare, medical, or HME industry is preferred
  • Able to manage multiple tasks and prioritize effectively to meet deadlines
  • Strong organizational skills and attention to detail
  • Bilingual in Spanish is preferred
