The Legal Aid Society's Civil Practice is seeking an experienced Assistant Office Manager to support the smooth operation of the Brooklyn Neighborhood Office. The successful candidate will assist the Office Manager and Attorney in Charge in overseeing day-to-day office operations, performing general administrative functions, and coordinating maintenance of office facilities and equipment.

Key Responsibilities:
  • Assist in the oversight of office operations, including data management, facility issues, purchasing, expense reports, and client escrow accounts.
  • Coordinate with internal administrative staff, including Facilities and IT, and external service providers to ensure seamless office operations.
  • Develop and maintain relationships with counterparts in various administrative departments, including Finance, Shared Services, Communications, and Building management and maintenance.
  • Ensure the proper implementation of office procedures and policies.
Paralegal I Support and Reporting:
  • Assist the Office Manager in hiring, training, and general staffing support for Paralegal I's assigned to the office.
  • Support and train Paralegal I's in their various job responsibilities.
  • Generate and maintain reports using Excel, SharePoint, and a proprietary database.
  • Provide administrative coverage when needed.
Professional Development and Other Duties:
  • Participate in continuous professional development to enhance skills and knowledge.
  • Continuously learn about forms of bias in the workplace and demonstrate affirmative behaviors that support an inclusive work environment.
  • Perform other duties as assigned by the Office Manager and Attorney in Charge.
Requirements:
  • Associate's degree + 2 years of experience or any equivalent combination of education/experience.
  • Ability to work independently and collaboratively with other managers.
Preferred Qualifications:
  • Bachelor's degree.
  • Previous administrative experience.
