Job Summary

The Office Manager is responsible for overseeing the day-to-day operations of the office, ensuring organizational effectiveness and efficiency. This includes coordinating administrative functions, such as report preparation, payroll, and timekeeping, as well as directing the daily duties of the Administrative Assistant and Medical Records Clerk.

The Office Manager must be able to maintain a high level of accuracy in preparing and entering information, possess excellent interpersonal skills, and be able to build strong relationships with colleagues and stakeholders.

Key responsibilities include:

  • Designing and implementing office management policies
  • Establishing standards and procedures for office operations
  • Organizing office operations and procedures
  • Assisting and overseeing the Administrative Assistants in assigning and monitoring tasks
  • Monitoring and recording long-distance phone calls
  • Controlling correspondences
  • Reviewing and approving purchase orders for supply requisitions
  • Liaising with other agencies, organizations, and groups as appropriate and directed
  • Maintaining office equipment
  • Recruiting and selecting office staff
  • Orienting and training employees
  • Providing on-the-job and other training opportunities
  • Evaluating staff performance
  • Coaching and disciplining staff
  • Designing filing systems
  • Ensuring filing systems are maintained and up to date
  • Defining procedures for record retention
  • Ensuring protection and security of files and records
  • Ensuring effective transfer of files and records
  • Transferring and disposing of records according to retention schedules and policies
  • Ensuring personnel files are up to date and secure
  • Maintaining office efficiency
  • Planning and implementing office systems, layout, and recommending equipment procurement
  • Maintaining and replenishing inventory
  • Checking stock to determine inventory levels
  • Anticipating needed supplies
  • Verifying receipt of supplies
  • Attending supervisory, training, and staff development meetings as directed by the Program Director
  • Complying and promoting compliance with all applicable laws, regulations, and agency policies, helping to strengthen and maintain an ethical organizational culture
  • Performing other related duties as required

Essential knowledge, skills, and abilities include:

  • Knowledge of office administration policies and procedures

Effective staff management skills include:

  • Planning, scheduling, assigning, and directing work
  • Appraising performance
  • Rewarding and disciplining
  • Addressing complaints and resolving problems
  • Selecting, training, and developing employees
  • Directing employees toward desired objectives
  • Delegating, motivating, and controlling essential work functions

Qualifications and experience include:

A high school diploma or GED, plus at least three years of clerical, administrative, or secretarial experience. A BA is preferred, and related college credits or a comparable training program can substitute for a portion of the experience requirement. Proficiency in all Microsoft Office programs is required.
