Internal Events Procurement Coordinator

ABOUT THE ROLE
OneStream is seeking a Procurement Specialist to enhance our Accounting division. This role is pivotal in supporting the procurement strategy and operational initiatives associated with OneStream's Internal Events. The Procurement function is dynamic and will adapt to meet the evolving needs of our business partners, which entails acquiring new skills, leveraging innovative methods and technologies, collaborating with diverse teams, and discovering new avenues to enhance our processes.
KEY RESPONSIBILITIES
- Assist the OneStream Events Team and Executive Admin Assistants in the organization of Internal Events.
- Exhibit strong negotiation skills and vendor management expertise when collaborating with both internal and external vendors (e.g., hotels, transportation services, catering providers).
- Act as the primary liaison for functional teams to aid in the creation of statements of work (SOWs), requests for information (RFIs), requests for quotations (RFQs), and requests for proposals (RFPs) related to Internal Events.
- Establish and maintain a network of preferred vendors for Internal Events.
- Work in conjunction with Risk Management to ensure that risk management practices are effectively aligned to mitigate contractual risks inherent in vendor agreements.
- Monitor vendor performance to ensure compliance with contractual obligations, delivering quality services/products on schedule. Report on performance metrics, scorecards, annual reviews, and customer satisfaction surveys.
- Support adherence to procurement policies, objectives, procedures, templates, and workflows for vendor contracts and deliverables.
- Develop and manage a contract repository that includes all executed contracts and those in development. Track obligations, deliverables, contract modifications, and terms while controlling document access as necessary.
- Create and follow the Contract Playbooks established by the Legal department to incorporate appropriate operational legal protections in contracts.
- Oversee daily operational requirements at the vendor level, including invoice processing, service completion confirmation, and timely contract renewals.
- Coordinate financial arrangements with vendors, including billing, invoicing, and performance incentives, in accordance with established policies and procedures.
- Collaborate with vendors and key stakeholders to define clear contract change control processes.
- Foster strong relationships and trust with management, business owners, and finance procurement teams.
- Ensure proper governance is applied by all team members and cross-functional efforts, particularly during process or solution changes requiring vendor engagement.
- Serve as the main point of contact between vendors and internal stakeholders, clearly defining communication channels and decision-making authority.
- Conduct regular vendor evaluations and audits to assess performance levels and the quality of provider relationships.
- Communicate significant changes in strategy that may affect existing vendors, timelines, and overall vendor performance.
- Provide concise overviews of vendor contracts (including key terms, risks, opportunities, and service delivery guidelines) to stakeholders, ensuring clarity on contract elements as needed.
- Act as the primary liaison for Procurement to ensure competitive pricing from vendors.
- Assist with various ad hoc projects as required.
EDUCATION AND EXPERIENCE
- Bachelor's degree in business administration, marketing/hospitality, accounting, or a related field.
- 2-4 years of experience in procurement, business administration, marketing/hospitality, or a related area.
- Experience in event management and contracting, including negotiating payment terms and discounts.
- Familiarity with Coupa Software.
- Exceptional presentation and communication skills, with the ability to convey ideas and outcomes clearly and effectively using data.
- Capacity to perform under tight deadlines and a commitment to addressing complex organizational challenges.
- Attention to detail and accuracy in managing financial information.
- Proficiency in MS Office applications.
- Understanding of generally accepted accounting principles.
- Legally authorized to work without sponsorship.
