The Senior Event Production Manager is accountable for overseeing all facets of event production within a designated portfolio, as well as leading, mentoring, and supporting a team of Event Production professionals (both direct and indirect) across an extensive geographic area to ensure the successful delivery of all events, thereby achieving overall event objectives. This role will collaborate closely with relationship management and volunteer engagement partners within the assigned territory to ensure exceptional event experiences and facilitate revenue growth.

The assigned portfolio will include multi-market, high-level event categories, and/or a substantial number of events requiring advanced expertise, continuous focus, and significant time commitment.

While this position is remote, proximity to key metropolitan areas is required.

Key Responsibilities:

Event Production (40% of time)
  • Collaborate regularly with the relationship management team and volunteer engagement staff, acting as project manager to guarantee an outstanding event experience for participants and sponsors.
  • Monitor and update event production timelines for all events; adhere to deadlines and communicate progress to supervisors, identifying potential challenges.
  • Secure venues, permits, and insurance for assigned events by established deadlines, fostering positive relationships with communities and vendors.
  • Maintain organized storage units to ensure efficient use of space and inventory management.
  • Track and manage current inventory of event materials and supplies.
  • Procure, pack, and distribute necessary event supplies before, during, and after each campaign.
  • Provide information for local and national sponsorship fulfillment and manage deliveries.
  • Facilitate event production meetings with relevant staff.
  • Create and communicate staff assignments in collaboration with development team partners.
  • Oversee relationships with third-party logistics companies, managing overall event logistics as needed.
  • Adhere to all risk management guidelines related to event execution.
  • Collaborate with event and market leaders to ensure participant safety and effective crisis communication.
  • Serve as an active member of the Emergency Response team; act as vendor contact for changes or cancellations.
  • Assess and plan event routes, developing contingencies as necessary.
  • Work closely with the Society's legal/risk management department to ensure compliance with contract policies.
  • Ensure timely submission of logistical event information to facilitate participant engagement.
  • Perform additional duties as required to support event operations.
Budget and Project Coordination (25% of time)
  • Negotiate and manage event contracts, including but not limited to facilities, transportation, and supplies.
  • Follow procurement processes, ensuring accurate record-keeping and adherence to financial policies.
  • Track expenses and ensure compliance with approved budgets for all events.
  • Focus on cost-saving measures through appropriate vendor bidding processes.
  • Complete post-event financials and thank you communications to vendors/partners.
Staff Management (20%)
  • Lead, mentor, and support a team of Event Production professionals across a geographic territory.
  • Coach and develop staff, providing growth opportunities aligned with individual and organizational goals.
  • Collaborate with market leaders to enhance team members' skills and promote professional development.
Volunteer Management and Safety Oversight (15%)
  • Lead volunteer committees to ensure members are well-prepared for event roles.
  • Facilitate committee meetings to share event details and address logistical concerns.
  • Engage volunteers, providing feedback on event execution and safety measures.
Qualifications:
  • Bachelor's degree in Business, Hospitality, or a related field preferred; relevant experience may substitute for education.
  • Minimum of 5 years of related experience, with prior leadership experience preferred.
  • Experience in non-profit organizations is advantageous.
  • Proven ability to plan and implement events that yield measurable results.
  • Strong initiative and ability to manage multiple projects with competing priorities.
  • Excellent interpersonal and communication skills.
  • Commitment to the mission and values of the National MS Society.

The estimated hiring compensation range for this role is competitive and will be based on the candidate's experience and geographic location.
