The Senior Event Production Manager oversees all facets of event execution for a designated portfolio, while also leading, mentoring, and supporting a team of Event Production professionals across a broad geographic area to ensure the successful delivery of events that meet overall objectives. This role collaborates closely with relationship management and volunteer engagement partners to provide outstanding event experiences and foster revenue growth.
The assigned portfolio will include multi-market, high-level event categories and/or a substantial number of events that require advanced expertise, year-round commitment, and significant time investment.
This position is remote but requires proximity to specific metro areas.
Key Responsibilities (% of time):Event Execution (40% of time)- Collaborate regularly with the relationship management team and volunteer engagement staff, acting as project manager to ensure an exceptional experience for participants and sponsors.
- Monitor and update event production timelines for all events, ensuring adherence to deadlines and communicating progress to supervisors while identifying potential challenges.
- Secure venues, permits, and insurance for assigned events by established deadlines, while fostering positive relationships with local communities and vendors.
- Maintain organized storage units for event supplies, ensuring efficient use of space.
- Track and manage inventory of event materials and supplies, including signage.
- Procure, pack, and distribute necessary event supplies before, during, and after each campaign.
- Provide sponsorship fulfillment information and manage deliveries.
- Coordinate the distribution of in-kind contributions secured by the relationship management team.
- Schedule and lead event production meetings with relevant staff.
- Assign event staff roles in collaboration with development team partners.
- Manage relationships with third-party logistics providers for overall event logistics.
- Adhere to all risk management protocols related to event execution.
- Work with event leaders and volunteers to ensure participant safety and effective crisis communication.
- Establish and maintain positive vendor relationships.
- Serve as an active member of the Emergency Response team.
- Assess and plan event routes, developing contingencies as necessary.
- Collaborate with the Society's legal/risk management department to ensure compliance with contract policies.
- Ensure timely submission of logistical information to facilitate TeamRaiser updates.
- Other duties may be assigned to support event operations.
- Negotiate and manage event contracts, including but not limited to tents, facilities, and transportation.
- Follow procurement processes for purchases and contracts, ensuring accurate record-keeping.
- Track expenses and adhere to approved budgets for all events.
- Focus on cost-saving measures through appropriate vendor bidding processes.
- Complete post-event financial tasks, including final payments and vendor communications.
- Lead, coach, and support a team of Event Production professionals to ensure successful event execution.
- Develop and mentor staff, providing growth opportunities aligned with organizational goals.
- Guide staff to ensure effective implementation and event experiences.
- Collaborate with market leaders to enhance team members' skills and promote professional development.
- Lead volunteer committees to ensure members are prepared for their roles on event day.
- Facilitate committee meetings to discuss event details and logistical considerations.
- Engage volunteers, providing feedback on event safety and support.
- Bachelor's degree in Business, Hospitality, or a related field preferred.
- At least 5 years of relevant experience, with some leadership experience preferred.
- Non-profit experience is advantageous.
- Proven ability to plan and implement events that drive measurable results.
- Strong initiative and capability to manage multiple projects with competing priorities.
- Excellent communication skills and ability to foster collaborative relationships.
- Detail-oriented with a results-driven mindset.
Technical Requirements:
- Valid driver's license and reliable transportation required.
- Experience with event mapping and diagram software is a plus.
- Availability to work occasional nights and weekends as needed.
