The Senior Event Production Manager oversees all facets of event execution for a designated portfolio, leading, mentoring, and supporting a team of Event Production specialists across a broad geographic area to ensure the successful delivery of events that meet overall objectives. This role collaborates closely with relationship management and volunteer engagement teams to create outstanding event experiences and drive revenue growth.

The assigned portfolio includes multi-market, high-level event categories and/or a substantial number of events requiring advanced expertise, continuous focus, and significant time commitment.

This position is remote, but candidates should be located near key metropolitan areas.

Key Responsibilities:Event Execution (40% of time)
  • Collaborate regularly with relationship management and volunteer engagement teams to ensure exceptional event experiences for participants and sponsors.
  • Monitor and update event production timelines, adhering to deadlines and communicating progress to supervisors while identifying potential challenges.
  • Secure venues, permits, and insurance for events, fostering positive relationships with local communities and vendors.
  • Maintain organized storage units for event supplies and track inventory of materials.
  • Oversee the procurement and distribution of event supplies before, during, and after campaigns.
  • Manage sponsorship fulfillment and logistics, ensuring timely deliveries.
  • Facilitate event production meetings with relevant staff.
  • Assign event staff roles in coordination with development teams.
  • Oversee logistics with third-party providers as necessary.
  • Adhere to risk management protocols during event execution.
  • Work with event leaders and volunteers to ensure safety and effective communication during events.
  • Actively participate in emergency response efforts and vendor communications.
  • Assess and plan event routes, developing contingencies as needed.
  • Ensure compliance with the Society's contract policies.
  • Submit logistical information promptly to support event management systems.
  • Other duties may be assigned to support event operations.
Budget and Project Management (25% of time)
  • Negotiate and manage contracts for event-related services.
  • Follow procurement processes for event expenses, ensuring accurate record-keeping.
  • Track expenses and adhere to budgets for all events.
  • Implement cost-saving measures through competitive bidding for services.
  • Complete post-event financial reconciliations and vendor communications.
Team Leadership (20%)
  • Lead and mentor a team of Event Production professionals to ensure successful event execution.
  • Provide coaching and development opportunities for staff, conducting performance reviews.
  • Collaborate with market leaders to enhance team skills and promote professional growth.
Volunteer Management and Safety Oversight (15%)
  • Lead volunteer committees to ensure preparedness for event roles.
  • Facilitate committee meetings to address logistical details.
  • Engage volunteers to gather feedback on event safety and support.
Qualifications:
  • Bachelor's degree in Business, Hospitality, or a related field preferred.
  • Minimum of 5 years of relevant experience, with leadership experience preferred.
  • Non-profit experience is a plus.
  • Proven ability to manage multiple projects and priorities effectively.
  • Strong communication skills and attention to detail are essential.
