EquipmentShare is looking for a dedicated Credit and Collections Administrative Specialist to provide essential support to the Director and their team. This proactive and engaging team member will play a crucial role by delivering assistance in various areas including project oversight, vendor payment processing, team engagement activities, month-end financial close, customer rebate management, and support for acquisition-related initiatives. The position involves a variety of financial and administrative responsibilities to ensure seamless operations and adherence to company policies.
Key Responsibilities
  • Deliver comprehensive administrative assistance to the Director of Accounts Receivable, Credit, and Collections.
  • Participate in departmental and corporate project initiatives, ensuring effective communication with key stakeholders during meetings.
  • Contribute to the development and maintenance of the Accounts Receivable and Credit acquisition processes.
  • Facilitate communication between credit, collections, and AR teams throughout the acquisition process.
  • Conduct reviews of departmental budgets and assist in financial planning efforts.
  • Uphold confidentiality regarding acquisition projects, ensuring information is shared only with those who have signed appropriate non-disclosure agreements.
  • Foster relationships with corporate acquisition teams and other critical departments during the acquisition process.
  • Manage customer rebates and related documentation, while organizing and celebrating department employees' work anniversaries and birthdays to enhance team morale.
  • Assist in planning and coordinating departmental meetings, including scheduling, preparing agendas, and taking minutes.
  • Support the department during month-end and quarter-close activities, providing necessary administrative and accounting assistance.
  • Offer support to fellow team members and department managers as needed.
  • Assist with external audits by responding to inquiries as required.
  • Exhibit strong organizational skills to ensure efficient and effective departmental operations.
  • Process purchase orders for departmental vendors and ensure timely payments.

Skills & Qualifications
  • Exceptional communication skills, both written and verbal.
  • Experience in implementing process improvements and change management.
  • Ability to research and understand various AR/Credit roles to become a key resource during acquisitions.
  • Strong organizational skills are essential.
  • Capability to prioritize tasks effectively and manage daily priorities.
  • Willingness to learn and implement organizational processes using spreadsheets and project management tools.
  • Extensive customer service and project management experience required.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Education and Experience:
  • High school diploma or equivalent education or experience required.
  • College degree preferred.
  • Experience in accounting is preferred.
Physical Requirements:
  • Prolonged periods of sitting at a desk and working on a computer.
  • Ability to lift at least 15 pounds.
