Position Overview

The Accounting Administrative Assistant serves as a vital link between the Accounting Office and various stakeholders, ensuring exceptional service delivery to students, faculty, staff, and external partners. This role involves the collection and documentation of cash transactions, processing credit card payments, and maintaining the security of cash assets.

Key Responsibilities:

  • Primary Contact: Act as the main point of contact for inquiries at the Accounting Cashier window.
  • Email Management: Oversee the official Accounting email account, directing communications to relevant team members.
  • Phone Coordination: Manage the primary phone lines for the Accounting Office and Financial Aid Office.

Accounting Support:

  • Respond to general inquiries regarding account balances, payment statuses, and invoice processing.
  • Serve as the primary liaison for vendor inquiries, ensuring accurate payment processing.
  • Digitally file prepaid expenses, unearned revenues, and capital purchases in designated folders.
  • Attach scanned invoices to records in the accounting software.
  • Prepare checks for distribution.
  • Maintain and update vendor files and W-9 documentation.
  • Draft written communications as necessary.
  • Organize and maintain file storage.
  • Perform courier duties as required.

Cash Handling and Reconciliation:

  • Receive and accurately record cash transactions.
  • Process credit card payments and monitor daily transaction data.
  • Conduct daily reconciliation of receipts and complete closing procedures, including remote deposit processing.
  • Ensure the security of cash assets, including:

1. Safeguarding cash, checks, and undeposited receipts in a secure location.

2. Verifying that all security measures are in place at the end of each day.

  • Assist with student billing inquiries, providing support in person or via phone.
  • Manage Event/Departmental Cash Requests.
  • Coordinate payment processing for on-campus events with internal teams and student organizations.
  • Document daily prepaid postage and cash transactions.
  • Monitor prepaid postage balances and reconcile with general ledger records.
  • Perform additional duties as assigned.

Qualifications:

  • Associate's degree or equivalent experience in accounts payable or office administration.
  • Proficiency in Microsoft Excel, Outlook, and Word.
  • Strong written and verbal communication skills.
  • Excellent analytical abilities with a keen attention to detail.
  • Exceptional organizational and interpersonal skills.
  • Experience with accounting software, preferably Great Plains.
  • One to three years of experience in higher education or non-profit sectors is preferred.
