Position Overview

The Accounting Administrative Assistant serves as a vital point of contact within the Accounting Office, delivering exceptional service to a diverse range of stakeholders, including students, faculty, and external partners. This role involves the collection and documentation of cash transactions, management of credit card processes, and the safeguarding of financial assets.

Key Responsibilities:

  • Frontline Support: Act as the primary contact for inquiries at the Accounting Cashier window, ensuring prompt and courteous assistance.
  • Email Management: Oversee the official Accounting email account, directing communications to the appropriate team members.
  • Phone Coordination: Manage incoming calls for both the Accounting Office and Financial Aid Office, providing information and assistance as needed.

Accounting Duties:

  • Respond to general inquiries regarding account balances, payment statuses, and invoice processing.
  • Serve as the main contact for vendor inquiries, ensuring accurate and timely payment processing.
  • Organize and digitize financial documents, including prepaid expenses and invoices, for efficient record-keeping.
  • Prepare checks for distribution and maintain updated vendor files.
  • Draft written communications and maintain comprehensive filing systems.
  • Facilitate courier services as required.

Cash Handling and Reconciliation:

  • Receive and accurately record cash transactions, ensuring compliance with financial protocols.
  • Process credit card transactions and monitor daily payment processing activities.
  • Conduct daily reconciliations and ensure proper closing procedures are followed, including remote deposit processing.
  • Safeguard cash and financial documents, verifying security measures are in place.
  • Assist with student billing inquiries, providing support in person or via phone.
  • Manage Event/Departmental Cash Requests and coordinate payment processing for campus events.
  • Track prepaid postage and reconcile related transactions with the general ledger.
  • Perform additional duties as assigned to support the Accounting Office.

Qualifications:

  • Associate's degree or equivalent experience in accounts payable or office administration.
  • Proficiency in Microsoft Excel, Outlook, and Word.
  • Strong written and verbal communication skills.
  • Excellent analytical abilities with a keen attention to detail.
  • Strong organizational and interpersonal skills.
  • Experience with accounting software, preferably Great Plains, is a plus.
  • One to three years of experience in higher education or non-profit sectors is preferred.
