Job Overview:

Summary:

This role involves executing a range of advanced technical and routine administrative tasks associated with the daily operations of the Defined Contribution Savings Plans, including 401(k), 457(b), traditional IRAs, and Roth IRAs.

Key Responsibilities:

  1. Responds to incoming calls to inform and guide members on tax-advantaged investment options within the Utah Retirement Systems (URS) Savings Plans.
  2. Engages with plan participants in person to provide counsel and education regarding plan details, choices, and potential implications (IRS, state tax matters, etc.) of investing in URS plans.
  3. Handles participant applications, including regular and hardship withdrawals, plan loans, loan defaults, Required Minimum Distributions (RMD), W-4Rs, IRA conversions, and re-characterizations, ensuring timely and accurate processing.
  4. Serves as a department cashier, managing payments and ensuring the reconciliation and balancing of receipt records.
  5. Investigates and resolves customer inquiries received via mail, phone, email, and other channels promptly and appropriately, escalating issues to a Supervisor or relevant personnel when necessary.
  6. Contributes to individual projects such as updating departmental brochures or marketing materials, researching retirement-related topics, or overseeing specific departmental processes.
  7. Provides backup support to other Customer Service Specialists during their absences.
  8. Maintains strict confidentiality regarding all sensitive information.
  9. Performs additional related duties as assigned.

Required Qualifications:

Education and Experience:

Associate degree along with two (2) years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications: Experience in a call center environment, industry certifications (such as Certified Financial Planner (CFP), Certified Employee Benefit Specialist (CEBS), Chartered Financial Consultant (ChFC), etc.), familiarity with retirement plans and/or IRA administration, and sales experience.

  • Proficient in Microsoft Office applications at an intermediate level.
  • Ability to manage telephone operations effectively.
  • Familiarity with general office equipment operations and maintenance.

Mathematical Skills:

  • Competence in basic arithmetic operations, including addition, subtraction, multiplication, and division using whole numbers, fractions, and decimals.
  • Ability to operate a 10-key calculator by touch.
  • Basic bookkeeping and accounting skills.
  • Understanding of related statistical procedures.

Communication Skills:

  • Effective verbal and written communication abilities.
  • Proficient in writing and editing documents efficiently.
  • Strong telephone etiquette.
  • Excellent public relations and interpersonal skills.

Other Abilities:

  • Ability to establish and maintain effective working relationships with colleagues, members, and the public.
  • Capability to read, interpret, and communicate Saving Plans policies and procedures.
  • Efficiently file documents and manage records.
  • Analyze various retirement issues and provide recommendations.

  • Understand the principles and regulations governing retirement-related savings plans.
  • Prioritize tasks effectively and meet deadlines.
  • Work well both independently and as part of a team.
  • Handle multiple tasks in a timely and efficient manner.
  • Follow through on assignments and manage stress related to workload and deadlines.

The incumbent is expected to consistently demonstrate sound judgment, integrity, and personal values that align with the mission of URS.

Work Environment:

The position is performed in a standard office environment with appropriate climate controls. The role requires various physical activities, including walking, standing, sitting, reaching, talking, hearing, and seeing. Common dexterity is necessary to perform essential functions.
