Key Responsibilities:

  • Leadership: Direct and supervise the administrative team, ensuring optimal performance and productivity in all activities.
  • Contract Evaluation: Assess customer agreements to verify expenses and confirm that arrangements are profitable and align with corporate objectives.
  • Travel Coordination: Oversee and manage clients' travel arrangements and bookings, ensuring precision and timely updates.
  • Office Management: Administer daily office functions, including inventory management, correspondence handling, and equipment oversight.
  • Event Coordination: Plan and execute company events, meetings, and team-building initiatives.
  • Human Resources Assistance: Support the onboarding process for new hires, maintain employee records, and manage employee benefits. Oversee employee leave requests and address daily HR-related matters within the office.
  • Financial Management: Process invoices and manage expense documentation.
  • Vendor Relations: Collaborate with vendors and service providers to ensure smooth office operations.
  • Facility Oversight: Maintain a clean, organized, and productive office environment.
  • Communication Facilitation: Act as a liaison between staff and management, promoting clear communication and a positive workplace atmosphere.

Qualifications:

  • Experience: Minimum of 3 years in office management or administrative support, with a proven track record in team leadership.
  • Contract Management: Proficient in evaluating contracts to ensure profitability and manage costs.
  • Travel Management: Experienced in coordinating clients' travel logistics and reservations.
  • HR Knowledge: Familiar with managing HR-related tasks, including leave management and workplace issues.
  • Organizational Skills: Exceptional ability to organize and multitask effectively.
  • Communication Skills: Strong verbal and written communication abilities.
  • Technical Proficiency: Skilled in office software (e.g., MS Office, Google Workspace) and basic IT troubleshooting.
  • Problem-Solving Skills: Capable of anticipating needs and proactively addressing challenges.
