Key Responsibilities:
As the initial point of contact for our office, the Front Desk Receptionist must demonstrate a strong work ethic, exceptional organizational skills, and the ability to thrive in a fast-paced environment. This role requires excellent verbal and written communication skills, a friendly demeanor, a positive attitude, and a strong focus on customer service. The Front Desk Receptionist will engage daily with clients, manage a multi-line telephone system, oversee front desk emails, maintain common areas, and fulfill additional responsibilities as outlined below.
- Greet visitors warmly, both in person and over the phone
- Handle incoming phone calls, screening and directing them appropriately
- Take and relay messages; check and respond to voicemails
- Process incoming faxes efficiently
- Adhere to established procedures, rules, and regulations
- Collaborate with the Logistics department to manage incoming and outgoing mail
- Assist the marketing team by preparing and organizing promotional materials for educational sessions
- Act as the director of first impressions, interacting with clients and staff daily
- Cross-train in the Logistics/mailroom department
Qualifications:
Education: High School Diploma required
Experience: Minimum of 1 year of relevant experience preferred
Skills:
- Professional appearance and demeanor
- Familiarity with Salesforce or similar CRM platforms preferred
- Strong time management skills with the ability to prioritize tasks
- Ability to work effectively in a team environment
- Willingness to embrace growth and new challenges
- Outstanding customer service skills
- Adaptability to changing situations
- Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel)
- Typing speed of 55-60 WPM (please attach proof of results with resume)
