Position Overview

The Financial Aid Operations Coordinator plays a vital role in the effective execution of student financial assistance services at San Jose State University. Reporting directly to the Associate Director of Financial Aid Operations and Technology, this position is essential in delivering high-quality support to prospective students and the university community. The coordinator is tasked with managing a variety of interconnected workflow processes to guarantee the prompt receipt, classification, referral, and processing of financial aid documentation pertinent to the financial aid application and awarding procedures.

Core Responsibilities

  • Deliver exceptional customer service through various communication channels, including phone, email, and in-person interactions.
  • Maintain a comprehensive understanding of federal and state financial aid programs, including grants, loans, and work-study, and effectively communicate these processes to stakeholders.
  • Engage in on-campus events to inform prospective students about financial aid opportunities.
  • Interpret program guidelines and office protocols to assist student applicants effectively.
  • Oversee the intake and management of all necessary financial aid documentation.
  • Coordinate the receipting of documents and the processing of data workflows.
  • Analyze data for input into document management software.
  • Ensure the timely collection and tracking of documents required for financial aid verification and awarding.
  • Maintain and update student application statuses and document verification through computerized systems.
  • Develop and sustain the office's online presence to enhance communication with the campus community.
  • Guarantee the accuracy and timeliness of all production functions within the coordinator's responsibilities.

Qualifications and Skills

  • Familiarity with university policies, procedures, and practices.
  • Proficient in composing and formatting correspondence and reports.
  • Strong verbal and written communication abilities.
  • Exceptional customer service and public relations skills.
  • Ability to stay informed about various enrollment and financial aid policies and effectively address inquiries.
  • Capable of engaging in effective interpersonal communication and providing guidance to visitors and callers.
  • Knowledge of software applications, including word processing and spreadsheet tools.
  • Understanding of budgetary policies and procedures.
  • Ability to generate daily and weekly reports for internal and external stakeholders.
  • Skill in prioritizing and coordinating multiple tasks under varying guidelines.
  • Capacity to apply independent judgment and initiative to resolve issues and develop comprehensive solutions.
  • Ability to manage multiple priorities and organize work effectively.
  • Commitment to maintaining confidentiality and handling sensitive communications appropriately.
  • Knowledge of federal and state financial aid programs and their processes.
  • Ability to foster and maintain professional relationships to enhance service delivery.
  • Must possess foundational knowledge to assist students with inquiries.
  • Ability to navigate a range of interpersonal contacts, including those of a sensitive nature.

Education and Experience

  • Completion of a high school diploma, technical/vocational program, or equivalent.
  • A minimum of two years of relevant office experience or a combination of education and experience demonstrating the ability to fulfill the essential functions of the role.

Preferred Qualifications

  • Experience in customer service within a records management environment.
  • Proficiency in Microsoft Office Suite.
  • Strong written communication skills.

Compensation and Benefits

This position is classified as Administrative Support Coordinator I, with an anticipated hiring range reflective of the responsibilities and qualifications required. San Jose State University provides a comprehensive benefits package, which is typically valued at 30-35% of the base salary.
