Position Overview

The Financial Aid Programs Specialist and Student Services Advisor operates under the general guidance of the Associate Director of Counseling and Advising, while independently delivering a range of coordinating and advisory services to support the Financial Aid Counseling Unit. This role encompasses responsibilities related to the functional and technical aspects of financial aid programs, including application processes and awarding cycles, alongside providing counseling to students and their families.

Key Responsibilities

  • Oversee various Special Programs facilitated by the Financial Aid Office, including Study Abroad, Summer Faculty Led Programs, and Accelerated Programs with unique fee structures.
  • Manage financial aid allocations for students engaged in specialized programs, including Pell Credential awarding, Cross-Enrollment, and Fee Waivers.
  • Act as a liaison with both on-campus and external stakeholders to effectively administer these programs, ensuring timely financial aid disbursement.
  • Execute necessary queries to identify students for aid adjustments due to course withdrawals or drops.
  • Utilize the PeopleSoft Module to assess and modify Title IV aid as required.
  • Enhance the communication process regarding financial aid to prospective students and their families, supporting initiatives to increase student enrollment.
  • Maintain comprehensive knowledge of financial aid programs, including federal and state grants, and stay updated on eligibility criteria and office practices.
  • Provide educational counseling on budgeting and financial literacy through various formats, including virtual and in-person presentations.

Essential Skills and Qualifications

  • Strong interpersonal skills to effectively collaborate with diverse internal partners, demonstrating excellent oral and written communication abilities.
  • Exceptional customer service and public relations capabilities.
  • Proficient understanding of financial aid program methodologies and university policies.
  • Experience with federal and state grant programs in a higher education context, including fund reconciliation and processing issues.
  • Ability to interpret and convey policies to staff and students clearly.
  • Familiarity with counseling techniques and student services programs.
  • Strong command of English grammar and business writing skills.
  • Proficient in software applications, including word processing and database management.
  • Ability to analyze financial documents and apply knowledge of financial aid requirements effectively.
  • Capacity to maintain confidentiality and handle sensitive communications appropriately.

Required Qualifications

  • Bachelor's degree from an accredited institution in a relevant field, supplemented by coursework in counseling techniques and conflict resolution.
  • A minimum of three years of progressively responsible experience in student services. A master's degree in a related field may substitute for one year of experience.

Preferred Qualifications

  • Five years of comprehensive financial aid experience, covering all aspects from application to disbursement.
  • Experience working with special populations in financial aid contexts.
  • Demonstrated experience in student counseling regarding financial aid eligibility.
  • Experience in delivering presentations to students and families, both in-person and virtually.
  • Familiarity with online document retrieval systems and query execution in PeopleSoft.

Compensation

Classification: Student Services Professional III
Anticipated Hiring Range: $5,025/month - $5,732/month
CSU Salary Range: $5,025/month - $7,159/month

San Jose State University provides a comprehensive benefits package typically valued at 30-35% of your base salary.
