Role Summary

The Executive Assistant will provide high-level administrative support to the Chief Investment Officer and other senior members of the Real Estate team, ensuring the smooth operation of various administrative functions to enhance departmental efficiency.

Key Responsibilities

  • Manage and coordinate the calendars of the Chief Investment Officer (CIO), including scheduling appointments, tracking significant events, and optimizing time management.
  • Deliver comprehensive administrative assistance to the real estate team, which includes managing communications, preparing documentation, and organizing files.
  • Serve as the primary liaison between the CIO, senior management, and both internal and external stakeholders, facilitating effective communication through correspondence management and call screening.
  • Organize travel arrangements and itineraries, compile necessary documents for travel-related meetings, and oversee responses to event invitations. Assist in preparing and submitting expense reports, ensuring compliance with company policies.
  • Coordinate and schedule internal and external meetings, preparing and distributing agendas, materials, and minutes as required.
  • Maintain departmental records, including organizational charts, vendor lists, contract databases, invoices, and confidential documents.
  • Address general inquiries, take messages, and respond to routine questions. Collaborate with fellow administrative staff to ensure seamless communication and coverage.
  • Work alongside other administrative personnel to effectively distribute and manage workloads, ensuring timely completion of tasks.
  • Execute additional administrative or clerical duties as assigned by the CIO and senior management to support the real estate team's operations.

Qualifications

  • A minimum of three years of experience in an Executive Assistant capacity, with five or more years of general administrative experience preferred.
  • Experience in supporting C-level executives or senior management is highly desirable.
  • An Associate's degree or equivalent from a two-year college, or a comparable combination of education and experience.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint; familiarity with Concur is advantageous.
  • Basic understanding of the finance or real estate sectors is beneficial.
  • A Notary Public License is a plus, though not mandatory.

Compensation and Benefits

The salary range for this full-time, non-exempt position is between $70,000 and $90,000, plus eligibility for bonuses and benefits.
