This role is integral to the PICA segment of our medical professional liability division, which focuses on delivering professional liability coverage to dental and podiatric professionals.

Position Overview:

The Marketing Services Specialist plays a vital role in the PICA Group Marketing Department, ensuring the successful execution of programs and strategic initiatives aimed at enhancing brand visibility and supporting sales and marketing endeavors. This position provides ample opportunities to cultivate essential skills in project management, leadership, communication, relationship building, and marketing strategy, all critical to achieving the objectives of the PICA Group Marketing Department.

Key Responsibilities:

60% - Project Coordination and Management:
  • Oversee a range of significant internal and external communication projects, coordinating a diverse team to ensure effective and timely completion.
  • Analyze and report on key marketing initiatives, including email campaigns, website performance, and social media engagement.
  • Assist in organizing residency and student programs, including material distribution, speaker coordination, and event logistics.
  • Support management in the project intake process, including assignment, record keeping, reporting, and compliance auditing.
  • Manage the annual review and update of marketing materials to ensure alignment with branding, content, and legal standards.
  • Coordinate logistics for speaking engagements, including gathering necessary documentation and managing contracts.
  • Handle budgeting, speaker proposals, invoice processing, and accurate record-keeping of contracts.
  • Coordinate and evaluate events such as webinars, podcasts, and trade shows.
  • Represent the department in fostering strong collaborative relationships with high-performing agent partners.
  • Assist in internal marketing campaign coordination by participating in various committees.
45% - Operational and Administrative Support:
  • Manage calendar and travel arrangements for senior leadership.
  • Provide administrative support, including meeting coordination and expense reconciliation.
  • Facilitate the creation, approval, and execution of third-party contracts.
  • Assist in the development and management of the department's budget, ensuring timely invoice submissions.
  • Coordinate event logistics, including booth setup and preparation of promotional materials.
  • Conduct market research and monitor industry trends, providing reports to the team.
Additional Responsibilities:

5% - Perform other marketing and project management tasks as assigned by management.

Qualifications:
  • A bachelor's degree in Marketing, Communications, or Business Administration is preferred. Candidates without a degree must have a high school diploma or G.E.D. and at least eight years of relevant experience.
  • A minimum of three years of experience in project management and marketing operations is required.
  • Exceptional organizational skills and attention to detail.
  • Strong relationship-building capabilities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite, including Outlook, PowerPoint, Word, and Excel.
  • Familiarity with Trello and HubSpot is advantageous.

Salary Range:
$47,000 - $79,103. The displayed salary range represents the full pay grade for this position, with most candidates starting in the lower half of the range. Factors influencing actual salary include specific skills, years of experience, and comparison to existing team members in similar roles.
