Key Responsibilities
- Enhance communication with colleagues to ensure seamless and prompt support to assigned attorneys. Provide cross-training to teammates to maintain consistent high-quality service during absences.
- Act as a proficient gatekeeper, prioritizing competing demands. Manage sensitive matters with confidentiality, urgency, proactivity, and independence, ensuring tasks are followed through to successful completion.
- Develop a comprehensive understanding of legal practices and client needs. Maintain professional relationships with other legal representatives, courts, agencies, and professional organizations on behalf of the attorney, keeping up-to-date client contacts and detailed client/matter lists.
- Effectively manage timekeepers' schedules. Proactively oversee attorneys to ensure timely submission of entries. Gain expert-level knowledge of the billing process. Coordinate the review of proformas, track, edit, and update them, facilitating final approval of invoices to ensure prompt delivery to clients. Assist in achieving targets and year-end deadlines. Efficiently reconcile and process expenses.
- Draft, edit, and proofread correspondence, presentations, and various documents.
- Proactively organize internal and external meetings with minimal guidance, handling logistics efficiently.
- Exhibit exceptional proficiency in Microsoft Outlook. Utilize creative problem-solving skills to address challenging scheduling needs. Manage multiple calendars and support scheduling across various attorneys, clients, offices, and time zones.
- Monitor the attorney's inbox. Organize, clean up, and respond according to lawyer preferences. Streamline and maintain the Outlook folder structure. Ensure client/matter-related documents and emails are appropriately stored.
- Actively participate in team meetings. Engage in focus groups, lunch and learns, and other knowledge-sharing initiatives, including the mentorship program when necessary.
- Maintain expertise in the firm's core applications. Understand and adhere to best practices.
Preferred Qualifications
- Bachelor's degree preferred with over 7 years of relevant experience.
- Expert-level proficiency in MS Office Suite (Word, Excel, PowerPoint, and Outlook).
- Strong organizational capabilities, with the ability to prioritize multiple tasks while maintaining excellent attention to detail.
- Outstanding interpersonal skills and the ability to cultivate relationships with internal and external lawyers, staff, and clients.
- Exceptional verbal and written communication skills, adhering to professional business writing standards. Demonstrates a meticulous eye for detail in both informal and formal communications.
- Collaborates effectively with other departments, seeking solutions to business challenges. Exhibits intellectual curiosity and a continuous drive to enhance service quality.
