Senior Administrative Assistant

NORC at the University of Chicago is seeking a highly skilled Senior Administrative Assistant to join our Strategic Communications & External Affairs department. As a key member of our team, you will provide exceptional administrative support to senior-level leaders, ensuring seamless execution of external and internal strategic communications initiatives.
This is an exciting opportunity to showcase your resourcefulness, efficiency, and professionalism in a fast-paced research environment. You will be responsible for coordinating complex scheduling, travel arrangements, and expense reporting, as well as planning and coordinating department meetings, events, and luncheons.
Responsibilities- Coordinate complex scheduling, travel arrangements, and expense reporting.
- Coordinate and traffic contracts, invoices, purchase requests, and other crucial internal processes.
- Plan, coordinate, and prepare for department meetings, business meetings, events, luncheons, and dinners.
- Develop and design improved administrative procedures to promote timely processing and submission of administrative deliverables.
- Prepare and/or integrate information needed to compose routine and non-routine correspondence, reports, documents, and presentations.
- Build strong relationships throughout the company to support and facilitate the collaborative team environment.
- High school diploma or equivalent required, plus a minimum of 3 years supporting senior or executive-level management.
- Strong organizational skills, with proven experience prioritizing work and coordinating multiple projects at one time.
- Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook.
- Polished demeanor and comfort working with staff at all levels in the organization.
- Excellent communication skills, including stellar interpersonal skills and basic writing skills.
