Position Overview


Role Summary:

Title: Operations Intern or Fellow
Reports to: Operations Manager
Status: Nonexempt, temporary

Compensation:
The Operations Intern role offers a pay rate of $20 per hour. This position is designed for individuals who have recently completed high school or are currently enrolled in an undergraduate program.

The Operations Fellow role provides a compensation of $27 per hour, aimed at individuals pursuing or who have recently obtained an advanced degree.

Key Responsibilities:

  • Oversee office supplies and inventory; ensure adequate stock levels and place orders as necessary.
  • Facilitate in-person meetings; reserve conference rooms, coordinate catering, and manage guest access.
  • Prepare meeting spaces, including setting up audiovisual equipment and materials.
  • Welcome and assist visitors upon their arrival.
  • Organize and maintain digital files for easy access and proper storage.
  • Assist with various special projects as required.
  • Provide general administrative support, including mail handling and phone answering.
  • Occasionally assist with calendar management and scheduling under the guidance of the Executive Assistant.
  • Contribute to fostering a positive and efficient office atmosphere.

Time Allocation:

  • Office Support (Meeting Coordination & Inventory Management): approximately 40%
  • File and Contract Organization: approximately 25%
  • General Administrative Support: approximately 25%
  • Special Projects: approximately 10%

Ideal Candidate Profile:

  • Highly organized and detail-oriented, with the ability to multitask effectively.
  • Strong communication and interpersonal skills.
  • Proactive, capable of working independently as well as collaboratively.
  • Adaptable to shifting priorities and tasks.
  • Comfortable with ambiguity and quick changes, with a knack for identifying creative solutions.
  • A positive mindset and eagerness to learn.

Qualifications:

  • High school diploma or equivalent.
  • Availability to work between 20-40 hours weekly.
  • Preferred: 1-3 years of experience in an office environment.
  • Preferred: Familiarity with Microsoft Office Suite, SharePoint, and videoconferencing tools such as Microsoft Teams and Zoom.
  • Bonus: Knowledge of Salesforce, ContractWorks, GoCo, and JazzHR systems.
  • U.S. citizenship or authorization to work in the United States.
  • Proof of COVID-19 vaccination.
