Role Overview

The Office Administrative Associate provides critical support to the Academic Records Unit at Community College of Philadelphia. This role requires strong organizational, communication, and technical skills to maintain accurate enrollment records, process academic transcripts, and communicate effectively with students, faculty, and staff.

Main Responsibilities

  • Process duplicate PIDMs, update student PA Secure Identification information, and prepare excused withdrawal requests.
  • Review and process enrollment error reports from the National Student Clearinghouse, provide online degree verification services, and assist with grade adjustments and attendance reporting.
  • Provide clerical support to supervisors, manage Records department email accounts, and respond to inquiries regarding academic record issues.
  • Maintain accurate and up-to-date records, ensure compliance with FERPA regulations, and adhere to College policies and procedures.

Required Skills

  • High school diploma or GED equivalent required; minimum five years of experience in an administrative or clerical support position preferred.
  • Strong communication, interpersonal, organizational, record keeping, and time management skills required.
  • Demonstrated excellence in providing customer service, proficiency with MS Word and Excel, and experience working with people from diverse backgrounds essential.
  • Ability to work extended hours and occasional Saturdays as needed, full and regular attendance required.

Compensation and Benefits

The estimated annual salary for this position is $45,000-$60,000, dependent on qualifications and experience. We also offer a comprehensive benefits package, including health insurance, paid time off, and retirement savings plan.
