Overview

We are seeking an experienced Medical Operations Coordinator to join our administrative staff in the EPS Lab at Hospital of the University of Pennsylvania. This role will play a vital part in managing clinic operations, ensuring seamless patient care experiences, and supporting the growth of our clinical practice.

Job Description

This position involves coordinating patient-related activities for both outpatient visits and procedures, including:

  • Triage phone calls, take messages, and provide information to internal and external customers;
  • Scheduling appointments, surgeries/procedures, diagnostic tests, and admissions as requested;
  • Obtaining procedural and medical authorizations;
  • Preparing and processing billing and correspondence;

The ideal candidate will have strong organizational skills, attention to detail, and excellent communication abilities. They will also be responsible for managing office administrative functions, providing high-level programmatic support, and participating in select projects as assigned by leadership.

Responsibilities

The selected candidate will oversee routine office tasks, lead responsibilities of administrative staff, and participate in special projects. Specific duties include:

  • Oversight and Lead Responsibilities:
    • Independently owns, prioritizes, and initiates implementation of assigned work functions;
    • Serves as a point of escalation for Admin Services team members;
    • Participates in and supports select projects to be determined by leadership;
    • Evaluates and manages workload distribution of Admin Services staff;
  • Clinical Duties:
    • Greets, screens, schedules, and directs patients in a prompt, positive, pleasant, and helpful manner;
    • Retrieves and processes incoming medical records/images;
    • Ensures diagnostic testing and other evaluations are completed before visit if applicable;
    • Assists attending physicians with outpatient office hours;
  • Admin Duties:
    • Answers and screens all phone calls and patient inquiries;
    • Maintains multiple calendars, clinical schedules, and surgery/procedure schedules;
    • Attends and takes minutes in meetings when necessary;
  • Billing Duties:
    • Uses correct CPT codes for scheduling procedures/surgeries/admissions;
    • Ensures all operative reports and encounter forms are turned in for billing within designated timeframes;
Requirements

To succeed in this role, you should possess:

  • 5+ years of medical office experience or 5 years of customer service experience;
  • Related clinical office experience required; prior customer service or insurance verification experience in a healthcare setting preferred;
  • A degree (Associate's, Bachelor's, Master's) may be considered in lieu of experience;
