Job Summary

We are seeking an experienced Administrative Assistant to support the Volunteer Services Department. This role will provide administrative support to various leaders, teams, and committees, ensuring seamless day-to-day operations.

Responsibilities
  • Prepare annual reports, coordinate with leaders for content, and ensure timely submission.
  • Assist with scheduling recurring meetings, speaker events, and vendor coordination.
  • Screen incoming phone calls, grant applications, business correspondence, and provide preliminary information to internal and external callers.
  • Prepare agendas, meeting minutes, presentations, and other documentation as requested.
  • Organize projects, coordinate events, and assist with gift distribution during holiday seasons.
  • Review all correspondence and documents received, and perform duties in accordance with Penn Medicine values, policies, and procedures.
Requirements
  • Bachelor's degree or equivalent experience.
  • 3+ years of experience working with leadership in an academic healthcare or complex system environment.
