Position Overview:
Assist the Front Office Manager in overseeing the Front Office operations to ensure guest satisfaction, quality service, and adherence to corporate policies while achieving financial objectives. This role primarily involves working during the evening shift, ensuring that all guest interactions, from arrival to departure, are handled efficiently and courteously.

Key Responsibilities:

  • Effectively communicate both verbally and in writing to provide clear guidance to staff. Assign tasks and instruct guest service agents on their duties while monitoring performance and encouraging improvement.
  • Welcome guests warmly and sincerely upon arrival. Utilize a positive and clear speaking voice, actively listen to requests, respond appropriately, and provide accurate information regarding hotel amenities and local attractions.
  • Efficiently manage the registration process by entering and retrieving information from the hotel management system, confirming essential details such as guest count and room rates. Promote HEI Hotels and Resorts along with brand-specific marketing initiatives. Select appropriate rooms based on guest preferences and provide welcome materials as necessary.
  • Verify and process credit card transactions for authorization using electronic methods. Handle cash transactions, balance the assigned house bank, and accurately post charges to guest accounts.
  • Promptly answer phone calls with a positive demeanor, log messages into the system, and relay important information to guests. Retrieve mail and packages as requested.
  • Maintain composure and alertness during emergencies or busy periods, serving as a role model for other associates. Address customer issues and complaints by thoroughly investigating situations and determining effective solutions, authorizing revenue allowances when necessary.
  • Ensure compliance with attendance policies and maintain regular availability for work.
  • Perform additional job-related duties as assigned.

Qualifications:

  • High school diploma required; college degree preferred.
  • Minimum one year of experience in customer service within the hospitality industry or a related field.
  • Ability to effectively engage with both internal and external customers, demonstrating patience, tact, and diplomacy.
  • Strong mathematical skills and proficiency in using a calculator for moderately complex calculations.
  • Proficient in accessing and accurately inputting information into a computer system.
  • Ability to stand and walk for extended periods while performing front desk duties and recognizing emergency situations.
  • Effective verbal and written communication skills, with the ability to prepare detailed reports on room availability and revenue.
  • Capability to establish and maintain positive working relationships with colleagues and guests.
  • Adaptability in communication style to suit various audiences, including supervisors, coworkers, and the public.
