The Practice Coordinator is tasked with overseeing the daily operations of the front office at their designated practice location, ensuring high-quality service for both in-person and remote patients and clinicians.

Key Responsibilities:
Operational Excellence:
- Foster a positive workplace culture; act as a culture ambassador and support clinician and staff engagement initiatives to enhance LifeStance culture and connectivity.
- Prepare schedules for all patients to guarantee that all documentation is complete, credit card information is up-to-date, demographic details are accurate, and patient records are ready.
- Perform general office tasks, maintain cleanliness and aesthetics, such as sorting mail, scanning documents, managing shared emails, and ensuring the office is organized for patients and clinicians.
- Communicate effectively with colleagues, clinicians, and patients to support patient care and clinician satisfaction.
- Deliver outstanding customer service, responding promptly and appropriately to patient inquiries, and managing potentially challenging situations by adhering to Crisis and De-escalation protocols.
- Handle front desk duties, including welcoming and checking patients in and out with courtesy.
- Assist patients with inquiries via phone, email, or portal regarding billing, scheduling, and other requests.
- Manage call queues to ensure timely responses and excellent customer service.
- Support patients with telehealth access, Patient Portal issues, and other troubleshooting as necessary.
- Address urgent requests; triage patient concerns and direct them to the appropriate departments or escalate as needed.
- Collect co-payments and account balances from patients at the time of service.
- Verify insurance eligibility and communicate with patients to resolve any issues.
- Provide general support to clinicians by assisting with administrative tasks such as sending correspondence and faxes.
- Coordinate with clinicians regarding additional patient inquiries.
- Support clinician schedules by auditing appointment accuracy.
- Maintain a secure, pleasant, and motivating work environment within the practice.
- Ability to manage multiple tasks and prioritize responsibilities to ensure a high-quality patient experience.
- Capacity to work independently as well as collaboratively within a team.
- Strong verbal and written communication skills.
- Proficiency in using computer software applications (Microsoft Office & EMRs).
- Comfort in handling sensitive and confidential information (HIPAA compliance).
- High School diploma or equivalent required; an associate's or bachelor's degree is preferred.
- 1+ years of experience in healthcare operations, customer service, or a similar role is preferred.
