Overview:


The role of the Practice Assistant is to deliver exceptional administrative support to a team of legal professionals, ensuring that both client and firm needs are met efficiently and effectively.

This position is designed as a hybrid role, requiring in-office attendance on specified days, which may be adjusted based on the evolving needs of the firm.


Core Responsibilities:
  • Provide professional communication with clients, attorneys, and colleagues through various channels, addressing routine inquiries and directing calls appropriately.
  • Draft, format, and manage documents using Microsoft Word, Excel, and PowerPoint, as well as prepare standard business correspondence under the guidance of attorneys.
  • Coordinate travel arrangements, including flights and accommodations, through the firm's travel system.
  • Process financial documents such as reimbursements and invoices promptly.
  • Assist in running conflict checks, initiating new client matters, and drafting necessary legal documents.
  • Understand and apply client-specific billing guidelines to ensure compliance.
  • Manage incoming mail and coordinate document distribution and filing.
  • Utilize the firm's workflow tools to track and complete work requests from attorneys.
  • Maintain organized electronic and paper filing systems for easy access to documents.
  • Support attorneys with billing and time entry tasks as needed.
  • Undertake special projects and additional duties as assigned.

Essential Skills:
  • Proficient in Microsoft Office Suite and document management systems.
  • Experience with electronic signature software.
  • Strong technical and communication skills relevant to legal administrative functions.
  • Ability to manage multiple tasks in a fast-paced environment with a keen attention to detail.
  • Excellent writing and proofreading skills.
  • Strong work ethic and commitment to confidentiality.
  • Ability to lift and carry up to 30 pounds.

Qualifications:
  • Bachelor's degree preferred.
  • 5 to 10 years of experience supporting legal professionals in administrative roles.

Physical Requirements:
  • Capability to sit or stand for extended periods.
  • Moderate to advanced keyboarding skills.
