Position Overview

The Litigation Administrative Coordinator is responsible for delivering and coordinating intricate and specialized administrative and secretarial assistance that necessitates comprehensive knowledge of legal operational procedures. This role is essential in supporting a team of legal professionals and also extends assistance to other secretaries and attorneys as required. The position serves as a vital link between attorneys and clients, managing various administrative tasks efficiently.

Key Responsibilities


• Oversee both physical and digital filing systems, which includes processing, updating, locating, and reviewing documents across multiple software platforms, involving tasks such as data uploads and keyword searches.


• Draft templates for legal documents including pleadings, discovery requests, motions, declarations, and proposed orders.


• Exhibit proficiency in generating tables of contents and authorities.


• Prepare and submit legal pleadings and correspondence, including electronic filing of documents for state and federal courts.


• Maintain a comprehensive calendar for critical deadlines, hearings, meetings, and discovery motions.


• Create and organize deposition, mediation, hearing, and trial binders.


• Systematically arrange case files, ensuring all correspondence, pleadings, and discovery motions are organized and meet quality standards.


• Coordinate various office functions, including scheduling court reporters, depositions, mediations, and arbitrations.


• Draft, edit, format, and finalize correspondence, memos, and emails; distribute documents as necessary.


• Review and edit documents, correspondence, and memoranda for accuracy in grammar, spelling, punctuation, and syntax.


• Prepare reports, tables, and Excel documents as required for various assignments.


• Prioritize and manage legal work assignments effectively, utilizing available firm resources such as file clerks and copy services.


• Provide ongoing support to assigned attorneys throughout the day, proactively suggesting improvements in processes.


• Input and edit attorney time entries using the firm's software, ensuring correct client and matter associations.


• Collaborate with the Billing Department to prepare, review, and edit client bills, ensuring all necessary documentation is included with final invoices.


• Perform additional duties as assigned.

Qualifications


• A minimum of 4 years of relevant experience as a legal secretary, with at least 3 years in litigation preferred.


• A Bachelor's degree is preferred.


• Proficiency in Microsoft Office Suite – Word, Outlook, and Excel – along with records management software and general office equipment.


• Familiarity with iManage, ProLaw, or similar software is desirable.


• Strong understanding of various filing requirements for state and federal entities.


• Excellent verbal and written communication skills are essential.


• Exceptional organizational skills and attention to detail, with the ability to manage multiple assignments simultaneously with minimal supervision.


• Ability to establish effective working relationships within the firm.


• Capable of typing with speed and accuracy.


• Must maintain confidentiality at all times.


• Successful completion of a background check is required.

Physical Requirements

While performing the duties of this position, the employee regularly engages in using hands or fingers, handling or feeling, and reaching with hands and arms. The employee frequently sits for extended periods at a desk and works on a computer. Occasionally, the employee may be required to stoop, kneel, crouch, talk, or hear. The employee must be able to lift up to 15 pounds. This role requires close vision, distance vision, and the ability to adjust focus.
