Job Overview

We are currently seeking a Sales Support Specialist to join our team. This role is essential in providing assistance to the Sales Department, ensuring seamless operations and effective communication in the absence of the Director of Sales and assigned Sales Managers.

Key Responsibilities

  • Maintain and manage the database consistently to align with the business needs of the property and adhere to company-wide database standards.
  • Communicate guestroom block requests and modifications to the Reservations Department or Group Rooms Coordinator, ensuring accurate updates of guestroom room pickup.
  • Implement established procedures for tracking tentative business and reporting lost, canceled, and turndown business.
  • Generate and monitor daily booking transaction reports to stay informed about new, updated, and lost business.
  • Collaborate with the Manager of Sales Systems to audit the database of accounts, contacts, profiles, leads, and activities, ensuring adherence to established standards and promoting database quality.
  • Update plan values in the database, including Transient Protected, Group Rooms Budget, and Minimum Acceptable Rate.
  • Coordinate the application of Word merge forms and provide support to sales, catering, and conference services administrative staff.
  • Prepare and distribute sales and marketing reports to relevant stakeholders, including group bookings pace and sales production.
  • Maintain organized folders and master copies of monthly reports for reference.
  • Work closely with IT staff to troubleshoot software/database issues and assist in evaluating software requirements and enhancements.
  • Train and support new employees on database applications and standards.
  • Ensure at least one fully trained backup for the Market Research Coordinator position.
  • Regularly communicate with the Manager of Sales Systems regarding database issues and updates.
  • Keep system manuals and standard operating procedures up-to-date and contribute to training manuals as needed.
  • Attend department meetings and required company training sessions.
  • Complete additional duties as assigned by management.

Qualifications

  • Previous experience in an administrative role is required; a college degree is preferred.
  • Excellent verbal and written communication skills in English are essential.
  • Proficiency in Microsoft Office is required.
  • Strong organizational skills are a must.
