Job Overview

We are currently seeking a Sales Support Specialist to join our team. This role is essential in assisting the Sales Department by providing support to the Director of Sales and assigned Sales Managers in their daily operations and ensuring effective communication in their absence.

Key Responsibilities

  • Maintain and manage the database to align with the business needs of the property while adhering to company-wide database standards.
  • Communicate requests and modifications regarding guestroom blocks to the Reservations Department or Group Rooms Coordinator, ensuring accurate updates of guestroom pickups.
  • Implement established procedures for tracking tentative business and reporting on lost, canceled, and turndown business.
  • Generate and review daily booking transaction reports to stay informed about new, updated, and lost business.
  • Collaborate with the Manager of Sales Systems to monitor and audit the database of accounts, contacts, profiles, leads, and activities, ensuring adherence to established standards.
  • Update plan values in the database, including Transient Protected, Group Rooms Budget, and Minimum Acceptable Rate.
  • Coordinate the application of Word merge forms and assist sales, catering, and conference services staff to ensure efficient use of merge documents.
  • Prepare and distribute sales and marketing reports to various stakeholders, including group bookings pace and sales production metrics.
  • Maintain organized folders and master copies of monthly reports for reference.
  • Work closely with IT staff to troubleshoot any software or database issues.
  • Assist in evaluating software and database requirements and report enhancement needs.
  • Train and support new employees on database applications and standards.
  • Ensure there is a fully trained backup for the Market Research Coordinator position.
  • Communicate regularly with the Manager of Sales Systems regarding database issues and updates.
  • Keep system manuals and standard operating procedures current and contribute to the development of training materials.
  • Attend departmental meetings and complete other duties as assigned by management.

Qualifications

  • Previous experience in an administrative role is required; a college degree is preferred.
  • Excellent verbal and written communication skills in English are essential.
  • Proficiency in Microsoft Office is required.
  • Strong organizational skills are necessary for success in this role.
