Job Overview

We are currently seeking a Sales Support Specialist to join our dynamic team. This role is essential in assisting the Sales Department by providing administrative support to the Director of Sales and assigned Sales Managers. The ideal candidate will ensure seamless communication and operations within the department.

Key Responsibilities

  • Maintain and manage the sales database to align with property business needs and uphold company-wide standards.
  • Relay guestroom block requests and updates to the Reservations Department, ensuring precise tracking of room pickups.
  • Implement established procedures for monitoring tentative business and documenting lost or canceled opportunities.
  • Generate daily booking transaction reports to stay informed about new, updated, and lost business.
  • Collaborate with the Manager of Sales Systems to audit and enhance the database of accounts, contacts, and activities.
  • Update plan values in the database, including Transient Protected and Group Rooms Budget.
  • Assist in the application of Word merge forms, supporting sales and catering teams for efficient document management.
  • Prepare and distribute sales and marketing reports to relevant stakeholders, including group bookings and sales production.
  • Maintain organized records of monthly reports for reference and compliance.
  • Work with IT staff to troubleshoot any software or database issues.
  • Evaluate software requirements and report enhancement needs to the Manager of Sales Systems.
  • Provide training and support to new employees on database applications and standards.
  • Ensure a trained backup is available for critical positions within the team.
  • Communicate regularly with the Manager of Sales Systems regarding database updates and user management.
  • Keep system manuals and standard operating procedures current, contributing to training resources as needed.
  • Participate in departmental meetings and required training sessions.
  • Complete additional tasks as assigned by management.

Qualifications

  • Previous experience in an administrative role is required; a college degree is preferred.
  • Excellent verbal and written communication skills in English are essential.
  • Proficiency in Microsoft Office is required.
  • Strong organizational skills and attention to detail are necessary for success in this role.
