Job Title: Spa Operations Administrator

We are seeking a highly organized and detail-oriented Spa Operations Administrator to join our team at the Alyeska Nordic Spa. As a key member of our operations team, you will be responsible for ensuring the smooth day-to-day operations of the spa, providing exceptional guest service, and maintaining a positive and inclusive work environment.

Key Responsibilities:
  • Provide administrative support to the leadership team, including ordering office supplies, managing inventory, and processing invoices.
  • Assist in the development and implementation of spa operations procedures and policies.
  • Manage the spa's point of sale system, including processing transactions, managing inventory, and analyzing sales data.
  • Prepare and analyze reports on spa metrics, including daily sales, access counts, and revenue per available locker.
  • Manage the daily, weekly, and monthly payroll and benefits functions, ensuring accuracy and compliance with company policies.
  • Process invoices, receipts, and other basic accounting tasks.
  • Track expenses and manage petty cash.
  • Log data related to logistic administration into spa software system.
  • Reconcile duties, reporting, and monthly accrual duties.
  • Prepare, proofread, and format documents, including reports, memos, and letters.
  • Review and optimize office operations to increase accuracy, productivity, and efficiency, and reduce costs.
  • Collaborate with the corporate team to develop the point of sale system and contribute to the development and updating of standard operating procedures.
  • Champion safety protocols and ensure compliance with quality standards.
  • Assist in recruitment, financial reviews, expense tracking, and other fiscal activities as needed.
Requirements:
  • Previous administrative experience in the hospitality industry, preferably in a spa or wellness setting.
  • Proven financial acumen to enter and interpret data.
  • Passion for guest service, health, and wellness.
  • Proficient in Windows, PMS, and MS Office applications.
  • Proficient in POS, hotel reservations systems.
  • Excellent organization, verbal, and written communication skills.
Work Environment:

The Alyeska Nordic Spa is a fast-paced environment with high levels of interaction with employees, guests, and other stakeholders. The position may require working long days and/or weekends to meet periodic upturns in business demands or meet deadlines. The employee will be required to work outdoors in a variety of mountain weather conditions, with average temperature ranges of -22f to +86f.

The employee is regularly required to be on their feet, reach with hands and arms, and stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, color vision, depth perception, and ability to adjust focus. Visual ability to observe employees in the workplace, analyze operations, and detect situations of concern with regard to areas such as employee performance, grooming, training, and policy adherence. Employee may be required to pass a functional capacity test developed for this job.

The noise level in this work environment is usually moderate.
