Job Summary

We are seeking a highly skilled and experienced Administrative Coordinator to provide exceptional support to our Executive team at Nuvance Health. As a key member of our team, you will be responsible for coordinating administrative communications, maintaining calendars, and ensuring the smooth operation of our office.

Key Responsibilities

  • Coordinate all administrative communications to facilitate efficient operations, including maintaining the Executive daily appointment calendar and making travel and lodging arrangements as required.
  • Provide administrative support to the Executive team, including typing correspondence, composing letters and memorandums, and preparing reports.
  • Ensure accurate and timely completion of tasks, including tracking check requests, maintaining departmental records, and establishing filing systems.
  • Provide exceptional customer service to patients, families, and employees, including directing patient complaints to appropriate staff members and ensuring timely follow-up and resolution.
  • Maintain organized files and records, including corporate documents, By-Laws, and Board Minutes.
  • Complete and maintain time sheets and attendance records, and track travel, seminar, entertainment, lodging, and meal expenses.
  • Maintain proper levels of office supply inventories and ensure the maintenance of office areas and copiers.
  • Schedule and coordinate business engagements, including lunches, retreats, and parties.

Requirements

  • Associate's degree or equivalent experience.
  • 5+ years of experience supporting senior-level management.
  • Strong written and verbal communication, and organizational skills.
  • Microsoft Word, Excel, Outlook, and PowerPoint proficiency.
  • Maintain confidentiality.

Working Conditions

  • Manual: significant manual skills/motor coordination and finger dexterity.
  • Occupational: little or no potential for occupational risk.
  • Physical Effort: medium to heavy effort. May exert up to 35 lbs. force.
  • Physical Environment: generally pleasant working conditions.
