Role Summary

This role is designed to deliver essential administrative assistance to our Adult Literacy programs located in Bushwick. Responsibilities include managing phone communications, welcoming visitors, supporting data entry for current program participants, conducting outreach to prospective participants, and facilitating enrollment documentation for various agency initiatives.


Compensation
The salary range for this position is $45,000 to $50,000 annually.


Key Responsibilities
  • Manage incoming phone calls, addressing inquiries and directing calls as necessary. Take clear and comprehensive messages when required.
  • Welcome all visitors to the center, ensuring their inquiries are addressed and they are connected with the appropriate programs and staff.
  • Conduct outreach efforts and related activities to recruit program participants.
  • Assist individuals interested in adult literacy programs with initial paperwork and schedule them for intake appointments.
  • Perform data entry into the required funder-mandated systems and the agency's Salesforce platform, along with other data entry tasks as assigned.
  • Oversee inventory management for office supplies, cleaning materials, and program resources, ensuring adequate stock levels.

Qualifications
  • Demonstrated ability to complete assigned tasks and projects efficiently and on time.
  • Professional demeanor in answering phone calls and greeting visitors.
  • Team-oriented mindset.
  • Bi-lingual skills are required; tri-lingual skills are preferred.
  • Proficiency in Microsoft Office Suite (including MS Word, Excel, PowerPoint, Access) and SharePoint is essential.
  • Ability to handle confidential information with a high degree of discretion.
  • Exceptional customer service and task management skills.
  • Organized, detail-oriented, and capable of thriving in a fast-paced environment.

Education and Experience
  • High School Diploma or HSE is required; a bachelor's degree is preferred.
  • A minimum of two years of administrative experience with a strong emphasis on data entry is required.
