Position Title: Front Desk Receptionist

Organization: Children's Aid

Salary Range: $45,000 - $55,000

Position Overview: The Front Desk Receptionist plays a crucial role in the daily operations of the Children's Aid Programs. This position is essential for ensuring a welcoming environment for clients and visitors, as well as supporting the administrative functions of the organization.

Key Responsibilities:

  1. Promote and embody the organization's Mission, Vision, and Core Values in all interactions.
  2. Provide reception coverage, ensuring the reception area is organized and welcoming.
  3. Greet visitors, respond to inquiries, and issue identification badges as necessary.
  4. Assist security personnel by offering directions and notifying staff of visitor arrivals.
  5. Manage a multi-line phone system, directing calls appropriately and taking messages when needed.
  6. Maintain a log of building access for security and operational purposes.
  7. Receive and organize deliveries and mail for distribution to the correct recipients.
  8. Coordinate meeting room bookings, ensuring optimal use of available spaces and confirming details with clients.
  9. Oversee logistical arrangements for meetings, including audio-visual needs, catering requests, and room setups.
  10. Ensure conference rooms and common areas are well-maintained and report any issues to the Office Manager.
  11. Act as a point of contact in the absence of the Office Manager, maintaining communication with stakeholders.
  12. Perform additional duties as assigned to support the team and organizational goals.

Minimum Qualifications:

  • High School Diploma or GED.
  • Bilingual in Spanish and English.
  • Proficient in Outlook calendar and email management.
  • At least two years of experience in a front desk or receptionist role.

Essential Skills:

  • Excellent written and verbal communication abilities.
  • Understanding of the mission of Children's Aid and its relevance to site management.
  • Professional demeanor and appearance.
