**Job Summary**

We are seeking a highly organized and detail-oriented Purchasing Specialist to join our Administration-Support Staff team. The successful candidate will provide administrative and clerical support to ensure the smooth day-to-day operations of our organization.

**Key Responsibilities**

  • Provide exceptional customer service to visitors and callers, answering questions and directing them to the appropriate personnel.
  • Compose, type, and send correspondence, reports, and marketing materials via email, fax, or interoffice mail.
  • Manage and maintain filing systems, ensuring accurate and up-to-date records.
  • Enter data into our automated management information system.
  • Ensure all agency forms, staff directories, and profiles are updated regularly.
  • Monitor and troubleshoot office equipment maintenance issues, scheduling repairs and servicing as needed.
  • Prepare and submit requests for assistance with MIS.
  • Post, monitor, and secure information on employee and client bulletin boards.
  • Order, track, and distribute office supplies.
  • Assist with the audit of employee time and attendance data.
  • Conduct mail pick-ups and deliveries.
  • Coordinate and schedule meetings, conference calls, and prepare agendas.
  • Provide administrative support to upper management staff.
  • Facilitate and monitor client business phone usage.
  • Coordinate and plan special events.
  • Arrange and coordinate travel schedules and reservations.
  • Update appointment calendars.
  • Record, type, and distribute meeting minutes.
  • Coordinate and assign staff mailboxes.
  • Collect and track employee time and attendance/vacation/comp-time and record into log.
  • Deliver employee time sheets to the Payroll department.

**Requirements**

  • High school diploma or G.E.D. and/or equivalent experience.
  • Experience using Microsoft Office applications (Word, Excel) and Outlook.
  • Strong typing skills and ability to lift and move boxes.
