GENERAL DESCRIPTION:
This position entails a skilled role focused on intricate clerical and administrative responsibilities.

ESSENTIAL JOB FUNCTIONS:

The following statements outline the primary functions of the role and its scope of responsibility, but should not be regarded as an exhaustive list of work requirements. Individuals may undertake additional duties as assigned.

Receives, reviews, verifies, and directs code enforcement complaints from the public in various formats including verbal, in-person, via telephone, fax, email, or regular correspondence.

Assists clients at the service counter concerning code enforcement and zoning matters.

Collaborates with Code Enforcement Officials.

Prepares and dispatches courtesy letters upon receipt of complaints.

Maintains the automated database for code enforcement.

Prepares and aids in presentations.

Conducts reviews and completes research for ongoing code enforcement cases and liens.

Provides assistance to the Code Enforcement Clerk in daily operations as needed.

Performs administrative duties for the supervisor.

Acts as a backup for the Code Enforcement Clerk in coordinating Special Magistrate (S.M.) meeting schedules, posting public notices, preparing agendas, and producing and distributing minutes, along with other required tasks.

Files letters, reports, and related documents in the prescribed manner.

Prepares requisitions, purchase orders, and purchasing card documentation related to title searches, bids, surveys, legal advertisements, and other materials and services required by the division.

Refers callers to other employees, officials, or departments as necessary.

Takes minutes for meetings and/or other official functions.

Consistently adheres to Board policies and procedures.

Maintains a professional and safe work environment, following established safety policies and the desired organizational image.

Responds positively to change and performs all other tasks as directed.


KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge of Business English, spelling, and punctuation.
Knowledge of office practices and procedures.
Knowledge of computer operations related to administrative office work, word processing, and spreadsheets.
Ability to prepare complex documents and compose letters and memorandums.
Skilled in recording and transcribing information at a normal rate of speed.
Ability to make decisions in accordance with departmental rules, regulations, and policies.
Ability to establish and maintain effective working relationships with co-workers, managers, supervisors, directors, elected officials, vendors, and the general public.

PHYSICAL SKILLS:
Must be able to remain in a stationary position for 50% of the time.

Must be able to frequently position self to reach files and other office items located on low shelves or the floor.

Must be able to inspect and assess daily email and postal mail correspondence. Frequently communicates with the public, vendors, and co-workers. Must be able to exchange accurate information in these situations. Frequently operates various types of office equipment including, but not limited to, a computer and copy machine. Occasionally ascends/descends stairs. Rarely moves materials and office equipment weighing up to 25 lbs. Constantly works in an indoor environment. Rarely works in inclement outdoor weather conditions. Rarely operates a motor vehicle for up to four (4) hours continuously or intermittently.

MINIMUM QUALIFICATIONS:

EDUCATION AND EXPERIENCE:

Graduation from an accredited high school or possession of an acceptable equivalent diploma and four (4) years of secretarial/clerical and word processing experience preferred.

LICENSES, CERTIFICATIONS, OR REGISTRATIONS:
Must possess and maintain a valid Florida Driver's License.
OTHER JOB-RELATED REQUIREMENTS:
Disaster Essential.
