Work Schedule: Standard business hours, Monday to Friday, 40 hours per week.

Position Summary:

The Office Operations Coordinator will provide essential administrative support to various managers within the organization. This role requires proficiency in general office functions, including managing electronic communications, organizing files, and preparing project documentation. Strong interpersonal and communication skills are essential for effectively directing urgent inquiries to the appropriate personnel.


Qualifications:

  1. High school diploma or GED with a minimum of two years of experience in an office setting.
  2. Associate's degree preferred, focusing on office technology.
  3. Exceptional skills in word processing, typing, and general office tasks.
  4. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  5. Ability to engage positively with the public and the individuals supported by the organization.
  6. Fluency in reading, writing, and speaking English.
  7. Valid driver's license required.

Key Responsibilities:

  1. Manage and process work orders as necessary.
  2. Input data into department-specific software and generate reports as needed.
  3. Draft and distribute correspondence and reports, maintain filing systems, manage inventory of supplies, and handle purchase requisitions.
  4. Provide clerical assistance to the Assistant Director, Maintenance Manager, Safety Manager, Facility Support Lead Supervisor, and Project Management team.
  5. Receive and direct emergency or priority calls to the appropriate staff members.
  6. Offer backup support for the Liberty Message Center.
  7. Assist with backup duties for the Facility Assistant.
  8. Adhere to all departmental and organizational policies and procedures.
  9. Deliver personalized attention to all consumers.
  10. Follow safe operating procedures regarding the use of tools necessary for the job.
