Job Summary

The University of Texas at Austin is seeking a highly organized and detail-oriented Senior Administrative Associate to provide administrative support for the Texas Materials Institute's core facility center.

Key Responsibilities
  • Coordinate billing and invoicing functions related to TMI core facilities, ensuring accurate and timely management of billing.
  • Provide assistance with financial activities of the TMI service center, including tracking income and expenses, procuring supplies and equipment, processing payment vouchers and travel vouchers, and maintaining accurate department records.
  • Process payments and travel vouchers for seminar speakers, MSE recruits, TMI staff and students.
  • Assist the Graduate Coordinator with arranging travel and hotel reservations for guests, seminar speakers and MSE student recruitment.
  • May serve as backup for the Administrative Manager by processing account transfers, providing account balance information, and acting as electronic office manager in the Administrative Manager's absence.
Requirements
  • Bachelor's Degree and three (3) years of clerical experience, including one (1) year of experience at either the Administrative Assistant or the Administrative Associate level; OR High School Diploma or GED and five (5) years of clerical experience, including one (1) year at either the Administrative Assistant or the Administrative Associate level.
  • Proficiency with Microsoft Office programs.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills, attentiveness to detail, and time-management skills.
  • Demonstrated ability and willingness to work as a team member and independently.
  • Punctuality and professional demeanor.
Preferred Qualifications
  • Experience working in an academic environment.
  • Proficiency with DEFINE.
  • Experience with FBS.

  • May work around standard office conditions.
