Job Summary

We are seeking an experienced Administrative Manager to oversee the day-to-day operational management of the Process Industry Practices (PIP) sub-unit within the University of Texas at Austin's Cockrell School of Engineering. The successful candidate will be responsible for managing all aspects of administrative support services, including accounting, purchasing, and budgeting reports.

Key Responsibilities
  • Oversee the day-to-day operational management of PIP, including determining work priorities and supervising operational support staff.
  • Manage all aspects of accounting, purchasing, and budgeting reports, including reviewing and approving vouchers, purchase orders, and contracts.
  • Serve as primary financial representative for the PIP sub-unit within the University, ensuring compliance with university guidelines.
  • Supervise monthly account reconciliations and certifications, and provide monthly budget reports.
  • Prepare annual budgets with input and approval from the Director.
  • Oversee all aspects of the PIP Practice development, publishing, and delivery process, ensuring editorial consistency and a timely revision cycle.
  • Manage and prepare all Practice progress status tracking reports, and formulate strategies for project funding and implementation.
  • Supervise PIP systems administration, monitoring data integrity and record-keeping, and facilitating system enhancements and application improvements.
  • Coordinate with Function Team Leadership (FTL) to obtain quarterly status reports and resource needs, and support quarterly FTL meetings.
  • Attend PIP Quarterly meetings, monthly webex meetings, and Annual Conference, and offer administrative support to PIP Function Teams, Committees, and staff.
Requirements

The ideal candidate will have a strong background in administrative management, with experience in accounting, purchasing, and budgeting. Excellent communication and organizational skills are essential, as well as the ability to work effectively in a team environment.
