Job Summary

The Department of Aerospace Engineering and Engineering Mechanics at The University of Texas at Austin is seeking a highly skilled and organized Senior Administrative Associate to join our team. As a key member of our administrative staff, you will be responsible for providing exceptional support to our faculty, staff, and students.

Key Responsibilities
  • Coordinate and perform purchasing and contracting for the department, including soliciting bids, securing specs, and presenting options for major purchases and contractual agreements.
  • Serve as purchasing liaison with the Cockrell School Business Affairs Office, the university Office of Accounting, Purchasing, Accounts Payable, and other outside entities.
  • Work with vendors and central University offices to complete the onboarding process, including processing PIFs, direct deposit forms, and address updates.
  • Serve as the primary shipping and receiving staff member for the department.
  • Coordinate with the department building manager to complete inventory control on all purchases.
Requirements
  • Bachelor's degree and three years of relevant administrative experience.
  • Excellent written and verbal communication skills.
  • Excellent problem-solving abilities.
  • Ability to work successfully independently and as a member of a team.
  • Ability to prioritize work in a deadline-driven and dynamic environment.
Preferred Qualifications
  • Experience with UT Austin purchasing policy and procedures.
  • Experience with purchasing at a large organization.
Working Conditions

This position may work around standard office conditions. Repetitive use of a keyboard at a workstation is required. The job requires sitting, standing, and bending on a daily basis.

Work Schedule

Standard work hours are Monday - Friday, 8:00 a.m. - 5:00 p.m. Flexible schedule work may be considered.
