Position Overview:

The Senior Accounting Specialist plays a crucial role in supporting the operations of the College Business Office. This position encompasses a range of responsibilities including accounts receivable management, cash disbursement processing, vendor maintenance, and banking functions.

Key Responsibilities:

  • Conducts reconciliations and ensures compliance with established procedures through effective communication with college staff and administration.
  • Manages check runs, ACH transactions, and direct deposit activities across all funding sources and payment systems.
  • Guarantees the timely and precise reporting of cash activities in alignment with institutional policies and procedures.
  • Maintains various accounting records and reporting schedules, performing reconciliations to ensure adherence to compliance standards.
  • Collaborates with administration to identify and implement process improvements and automation initiatives.

Essential Duties:

  • Processes weekly accounts payable check runs, student refunds, and state appropriation checks as necessary.
  • Reviews outstanding checks, coordinates follow-up actions, and executes any required voids.
  • Completes wire transfers and other banking-related functions as needed.
  • Maintains vendor information, including IRS W-9 forms, new vendor setups, and ACH payment details.
  • Performs monthly bank statement reconciliations and distributes daily bank transaction information.
  • Investigates variances in general ledger accounts utilizing the Banner system.
  • Prepares general, adjusting, and correcting journal entries.
  • Ensures compliance with the Cash Management policy as outlined by the College.
  • Promotes a culture of collaboration, collegiality, and teamwork across the college.
  • Supports the principle that diversity is integral to the workplace through daily responsibilities.
  • Engages with agency personnel and external organizations to resolve accounting discrepancies and gather necessary data for reports.
  • Prepares financial statements and conducts account analyses as required.
  • Participates in system implementation efforts and collaborates with administration to enhance processes.
  • Assists in the preparation, review, and coordination of audit work papers and financial analyses.
  • Acts as a backup for college business office functions within internal control parameters.
  • Performs additional job-related duties as assigned.

Qualifications:

  • Minimum of three years of full-time or equivalent part-time professional experience in accounting or auditing, with at least one year in a supervisory or managerial role.
  • Education substitutions include an Associate's degree in accounting or related fields for up to one year of experience, a Bachelor's degree for up to two years, or a Graduate degree for the required experience.

Knowledge, Skills, and Abilities:

  • Strong understanding of accounting principles and practices.
  • Proficient in general report writing and data analysis.
  • Ability to interpret financial documents and apply relevant laws and regulations.
  • Excellent mathematical skills for solving accounting problems.
  • Effective communication skills, both oral and written.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Capacity to work independently and collaboratively in a team environment.

Desired Experience:

  • Experience with check processing and cash management functions.
  • Familiarity with Ellucian Banner and automated accounting systems.
  • Strong organizational skills with attention to detail.
