Role Summary:

We are seeking a remarkable individual to serve as the initial point of contact for our company, welcoming callers and visitors at our front desk. This role is essential in maintaining a positive office environment and involves a variety of clerical support tasks. The ideal candidate will possess a professional demeanor, a friendly disposition, and the ability to tackle challenges while providing accurate information and support to colleagues.

Key Responsibilities:

  1. Act as a positive and energetic presence within the office.
  2. Welcome and greet guests and employees warmly.
  3. Maintain a clean and inviting lobby area.
  4. Handle all incoming calls efficiently.
  5. Possess knowledge about our business and staff to address inquiries and direct calls appropriately.
  6. Support various corporate functions with tasks related to employee relations, marketing assistance, and project documentation.
  7. Serve as a point of contact for multiple locations on specific matters.
  8. Coordinate with local managers for building maintenance and contractor services.
  9. Perform additional duties such as managing petty cash and arranging travel and meetings.

Work Schedule: Full-time, Monday to Friday, 8:00 AM - 5:00 PM.

Qualifications:

  • Previous experience in a front desk or administrative role, especially with a multi-line phone system, is advantageous.
  • A high school diploma is required; an associate degree is preferred.
  • Willingness to learn, accept responsibilities, and seek new contributions.
  • Proficient in MS Office applications, particularly Excel and Word.
  • Strong organizational and multitasking skills.
  • Detail-oriented with effective problem-solving abilities.
  • Customer service-oriented mindset.
  • Reliable attendance and punctuality are essential.
  • General clerical experience is preferred.
  • Experience in civil engineering, architecture, construction, or surveying firms is a plus but not mandatory.
  • Proficiency in English, both oral and written, is required.
