The Senior Executive Assistant will deliver comprehensive administrative and operational assistance to an Executive/Owner, acting as the main business liaison for communication, calendar oversight, and daily operational tasks. We seek a candidate who is professionally astute, capable of managing a diverse range of responsibilities, adept at troubleshooting swiftly and effectively, and able to work both independently and collaboratively in a dynamic environment to achieve objectives.

Please Note: This position is not affiliated with Martin Automotive Group. This is a freelance opportunity with a contract offered by a separate entity.

KEY RESPONSIBILITIES:

  • Offer high-level administrative support to the Executive/Owner, implementing a multi-company strategy to enhance business workflows and objectives.
  • Oversee and prioritize the Executive/Owner's calendar and appointments.
  • Coordinate and arrange travel logistics, including travel bookings and itinerary creation.
  • Serve as a liaison among clients, third-party vendors, and event guests, ensuring exceptional communication and customer service.
  • Continuously monitor and adjust pricing for short-term rental properties to optimize occupancy rates.
  • Inspect and evaluate rental property conditions and vendor performance in accordance with quality assurance standards.
  • Administer or coordinate pet care for the Executive's pets on a regular basis.
  • Conduct thorough research on vendors, talent, and support systems to meet objectives, preparing detailed reports using Excel, PowerPoint, and/or Word.
  • Draft, edit, and proofread correspondence for distribution to business partners, vendors, and client lists.
  • Ensure compliance with vendor contracts and timely delivery of services.
  • Address conflicts or complaints promptly and professionally, minimizing escalation.
  • Organize and categorize both physical and digital property information and project data.
  • Create expense reports and payroll documentation utilizing QuickBooks.
  • Manage and troubleshoot technical devices and applications with support teams.
  • Provide insights on opportunities to improve business operations, relationships, and processes.
  • Follow management directives to execute tasks in alignment with company vision, policies, and procedures.
  • Perform various administrative and personal tasks as requested.
  • Complete any additional duties assigned by the Executive/Owner.

QUALIFICATIONS:

  • Associate's Degree and/or 3 years of experience in business/office management or as a personal assistant, with expertise in schedule management, negotiation, onboarding, and expense oversight.
  • Confidence to act as the primary point of contact for the organization.
  • Exceptional communication abilities.
  • Outstanding client/customer service skills.
  • Exhibits discretion and maintains confidentiality regarding executive-level information.
  • Strong attention to detail and ability to learn new skills quickly.
  • Excellent planning and organizational capabilities.
  • Ability to work autonomously and collaboratively, taking instructions from multiple sources.
  • Thrive in a fast-paced work environment, demonstrating sound judgment and problem-solving skills.

ADDITIONAL SKILLS AND COMPETENCIES:

  • Proficient in MS Office and Google Suite.
  • Familiarity with Project Management Software.
  • Experience with QuickBooks.
  • Marketing acumen.
  • Knowledge of Adobe Suite.
  • Valid Driver's License.
  • Experience in Senior Pet Care.

WORK ENVIRONMENT:

This is a hybrid role requiring both remote and onsite work, with potential travel obligations.
